Job description

Position Title: Legal Operations Coordinator
A growing California law firm is seeking a Legal Operations Coordinator to improve efficiency across its legal team by ensuring cases stay on track, deadlines are met, and processes run seamlessly. This is a highly collaborative role that blends legal operations, case management, and workflow oversight. You'll work closely with attorneys and paralegals to identify process improvements, maintain accountability, and support the successful execution of every case from an operational perspective. The ideal candidate is an organized, proactive legal professional with strong California litigation experience who enjoys improving processes, keeping teams accountable, and finding solutions before problems arise. They are adaptable, authentic, self-motivated, and confident working with attorneys and support staff to drive operational excellence.
Compensation:
  • $120,000-$130,000 annually
  • Eligible for a discretionary bonus of approximately 10-15%

Responsibilities:
  • Oversee case management workflows to ensure deadlines and critical tasks are completed on time
  • Monitor case progress and identify operational gaps or inefficiencies
  • Develop and implement process improvements to increase team efficiency
  • Follow up with attorneys regarding emails, outstanding tasks, and pending matters
  • Review and maintain the firm's master calendar to ensure deadlines are never missed
  • Coordinate with attorneys and paralegals to keep cases moving forward efficiently
  • Ensure court filings and legal documents are properly prepared and completed
  • Personally handle a limited number of filings while overseeing the accuracy and completion of the remaining filings
  • Maintain accountability across the legal team while fostering a collaborative working environment
  • Support attorneys and legal staff by identifying obstacles and providing operational solutions

Requirements:
  • At least 5 years of progressively responsible experience as a Legal Assistant, Legal Secretary, Litigation Support Professional, or in Law Firm Operations
  • Experience managing legal workflows, deadlines, or legal operations
  • Civil litigation experience in California
  • Strong knowledge of California court filing, service, and calendaring procedures
  • Experience preparing and filing pleadings, Judicial Council forms, proofs of service, and other legal documents
  • Excellent organizational, communication, and follow-up skills
  • Ability to work independently while collaborating effectively with attorneys and legal staff
  • Strong problem-solving skills with a process improvement mindset
  • Ability to prioritize multiple deadlines in a fast-paced legal environment

Preferred Qualifications:
  • Family law experience
  • Experience with family law pleadings, discovery, Requests for Order, financial disclosures, domestic violence matters, trial preparation, and post-judgment proceedings
  • Experience as a Senior or Lead Legal Assistant, Senior Paralegal, or Legal Workflow Coordinator
  • Experience developing legal support procedures, templates, checklists, or training materials
  • Familiarity with Lawmatics and MyCase
