Office Assistant (Administrative) - Responsibilities

The Office Assistant serves as the first point of contact for residents and visitors, providing professional support at the property office. This role includes managing files, processing applications, and assisting with apartment rental procedures.


  • Receive, sort, and distribute mail, bank deliveries, and other incoming items
  • Open, review, and route correspondence, including faxes
  • Maintain and organize corporate documents, records, and reports
  • Greet residents and visitors, offering prompt and courteous assistance
  • Answer and direct calls using a multi-line phone system
  • Draft and respond to routine inquiries and correspondence
  • Perform general administrative tasks such as ordering office supplies, maintaining record systems, and supporting basic bookkeeping functions
  • Assist team members, including the Office Manager and Property Manager, with various administrative tasks
  • Communicate daily with government agencies and property locations to support operations
