Job description

WHAT YOU'LL DO
As an Human Resources Coordinator, you'll play a critical role in delivering an exceptional employee experience by ensuring the smooth execution of Viant's day-to-day HR operations. You'll serve as the first point of contact for employee inquiries while coordinating key processes across onboarding, offboarding, HR systems, compliance, and employee documentation. This role is ideal for someone who is highly organized, detail-oriented, and passionate about providing outstanding internal customer service.
Working closely with Human Resources, Payroll, Benefits, Talent Acquisition, IT, and other cross-functional teams, you'll help maintain accurate employee data, support compliance initiatives, and continuously improve HR processes as Viant continues to scale.
THE DAY-TO-DAY
  • Serve as the first point of contact for general HR questions, providing timely, professional, and confidential support. Monitor and manage the HR inbox, and manage HR tickets in Jira, assigning, routing, and tracking to completion within a 5-day resolution target, connecting employees with the appropriate HR team members when specialized assistance is needed.
  • Coordinate the end-to-end onboarding process, including background checks, I-9 and E-Verify compliance, orientation scheduling, and new hire documentation, ensuring documents are completed within 3 days of start date and required compliance training is completed within 2 weeks of start date.
  • Facilitate employee offboarding by coordinating exit interviews, separation documentation, final pay logistics, equipment returns, and access revocation while partnering with the Benefits team on COBRA and benefit terminations.
  • Maintain accurate employee records across HR systems, including ADP, ChartHop, Greenhouse, and other HR platforms, ensuring timely updates for new hires, transfers, promotions, compensation changes, and separations.
  • Maintain audit-ready personnel files and ensure compliance with federal, state, and company record retention requirements, including I-9s and confidential employee documentation.
  • Partner with Payroll and other cross-functional teams to resolve employee data discrepancies, support reporting requests, and assist with compliance audits including SOX, EEO-1, and workers' compensation reporting.
  • Maintain HR process documentation, job aids, employee communications, and internal knowledge resources, using approved content and templates, while supporting future HR intranet development and content management.
  • Process employment verifications, reference requests, unemployment claims, employee correspondence, maintain departmental calendars, and provide administrative support for HR operations.
  • Support HR initiatives and special projects, including HRIS or ATS implementations, acquisition integrations, process improvements, employee programs, and other operational initiatives.
GREAT TO HAVE
  • High school diploma required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • 1-3 years of experience in an HR Coordinator, HR Assistant, or administrative support role.
  • Experience working with HRIS and applicant tracking systems; ADP experience preferred, with the ability to quickly learn new platforms.
  • Exceptional attention to detail, organizational skills, and discretion when handling confidential employee information.
  • Strong written and verbal communication skills with the ability to manage multiple priorities in a fast-paced environment.
  • Experience with Jira or similar ticketing platforms, project coordination, enterprise system implementations, or maintaining internal documentation and knowledge bases is a plus.

Base compensation range: $28/hr - $36/hr
In accordance with California law, the range provided is Viant's reasonable estimate of the compensation for this role. Final title and compensation for the position will be based on several factors including work experience and education.
