Job description

Real Estate Administrative Assistant
If you thrive in a fast paced environment, love staying ten steps ahead, and enjoy being the "go-to" person that keeps everything moving - this could be the opportunity for you!
A highly respected and rapidly growing commercial real estate group specializing in retail shopping centers is seeking a Real Estate Administrative Assistant to support a high performing leasing team and executive leadership. This is not your typical administrative role - this position sits at the center of active deals, leasing operations, tenant coordination, and executive support within a collaborative, energetic office environment.
This team is looking for someone who is:
  • Extremely organized and detail-oriented
  • Proactive and anticipatory by nature
  • Comfortable managing multiple priorities at once
  • Able to thrive in a high-volume, fast-moving environment
  • Professional, polished, and confident communicating internally and externally
  • Excited to be part of a social, team-oriented culture

What You'll Be Doing:
  • Supporting executive leasing leadership with deal tracking, scheduling, and operational coordination
  • Managing leasing documentation, lease files, and critical dates
  • Assisting with LOIs, lease processing, tenant coordination, and reporting
  • Maintaining organized records and helping keep deals moving efficiently
  • Coordinating across departments including leasing, accounting, and operations
  • Helping drive organization and accountability within a busy leasing pipeline

What They're Looking For:
  • 2+ years of administrative, leasing coordination, or commercial real estate experience preferred
  • Experience supporting busy executives or managing complex workflows
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Commercial real estate or leasing exposure is highly preferred
  • Someone who takes initiative instead of waiting for direction
  • High energy, adaptable, and culture-minded personality

Why People Love Working Here:
  • Tight-knit, collaborative team environment
  • Leadership that values initiative and growth
  • Exposure to a large commercial real estate portfolio
  • Company events, team outings, happy hours, birthday lunches & more
  • Opportunity to grow long-term within leasing operations and commercial real estate

Benefits Include:
  • 100% company-paid HMO healthcare option
  • PPO buy-up plans available
  • Dental, vision, FSA, life insurance, LTD & supplemental coverage
  • Mental health + telehealth support programs
  • 401(k) with company match
  • PTO + sick time + paid holidays + personal day
  • Discretionary annual bonus potential

This is an excellent opportunity for someone looking to build a long-term career within commercial real estate operations while working alongside an experienced and highly respected leasing team! We look forward to your application!
