Job description

Title: Leasing Administrative Assistant

Reports to: SVP, Leasing

Location: Onsite (North Syracuse, NY)

Compensation: $50k

Overview

We're looking for an organized, proactive, and collaborative Leasing Administrative Assistant to become the operational backbone of our Leasing team. This role is ideal for someone who enjoys keeping multiple projects moving, thrives in a fast-paced environment, and takes pride in creating structure and organization.

As the Leasing Administrative Assistant, you'll partner closely with our leasing professionals to support the day-to-day execution of leasing activities across our growing portfolio. From coordinating meetings and preparing lease documents to maintaining reporting, marketing materials, and tenant records, you'll play a key role in ensuring our team operates efficiently while delivering an exceptional experience for both internal partners and prospective tenants.

This position reports directly to the Leasing leadership team and offers the opportunity to gain exposure to commercial real estate operations while building valuable administrative, organizational, and project coordination skills.

What You'll Do

As a Leasing Administrative Assistant, you'll help keep our Leasing team organized, connected, and operating efficiently by:

  • Providing administrative support to the Leasing team and executive leasing leadership.
  • Preparing, organizing, and maintaining leasing files, reports, and documentation.
  • Creating daily, weekly, and monthly leasing reports to support business decisions.
  • Coordinating meetings, calendars, property tours, and cross-functional collaboration.
  • Responding to phone calls, emails, and general inquiries with professionalism and exceptional customer service.
  • Assisting with preparation and processing lease agreements, renewals, and related documentation.
  • Ensuring leasing documents are complete, accurate, and properly maintained.
  • Managing large collaborative documents used across multiple departments.
  • Supporting local and remote Leasing Representatives through Microsoft Teams, phone, and email.
  • Maintaining accurate tenant information within property management software.
  • Assisting with marketing materials, leasing books, presentations, and promotional flyers.
  • Helping maintain an organized office environment while supporting day-to-day operations.
  • Handling confidential tenant and company information with discretion and professionalism.

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 1–3 years of administrative, leasing, customer service, or office experience preferred.
  • Strong organizational and time management skills with the ability to prioritize multiple projects.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience with Yardi, SharePoint, Placer, Adobe Acrobat, Concur, or similar software is a plus.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently while collaborating effectively with a team.
