Estate Assistant information

What are the key skills and qualifications needed to thrive as an Estate Assistant, and why are they important?

To thrive as an Estate Assistant, you need strong organizational abilities, attention to detail, and experience in property management or administration, often supported by a relevant diploma or certificate. Familiarity with property management software, scheduling systems, and basic bookkeeping tools is commonly required. Excellent communication, discretion, and problem-solving skills help you effectively support estate operations and interact with clients, staff, and vendors. These skills are essential for ensuring the smooth running of estate activities and maintaining high standards of service and confidentiality.

What are some typical challenges Estate Assistants face when managing multiple properties, and how can they effectively prioritize tasks?

Estate Assistants often juggle responsibilities across several properties, including coordinating maintenance, managing vendor relationships, and handling administrative duties. The main challenge is staying organized and responsive to urgent needs while maintaining routine tasks. Effective prioritization involves using digital tools for scheduling, maintaining clear communication with property managers and owners, and regularly reviewing task lists to address time-sensitive issues promptly. Building strong relationships with reliable vendors and staying proactive with preventive maintenance can also help minimize unexpected emergencies.

What are Estate Assistants and what do they do?

Estate Assistants are professionals who support the management and daily operations of private estates, large properties, or residences. Their duties often include administrative tasks, coordinating maintenance, managing household staff, scheduling events, and ensuring the property runs smoothly. They may also handle vendor relationships, oversee budgets, and assist with personal errands for the estate owners. The specific responsibilities can vary depending on the size and needs of the estate. Estate Assistants help ensure that all aspects of the property are well-organized and efficiently managed.

Anyone in this position has the potential to earn up to $10,000 per month!

Full-time position

Heart of Chicago Homes is looking for a licensed Real Estate Assistant to support a high-producing real estate business. This is not an entry-level admin-only role. We need someone who can help with the day-to-day demands of a growing operation, support co-listing responsibilities, assist with client communication, and help keep deals and appointments moving forward.

Our team consistently closes between 5 and 10+ transactions per month, and we are looking for the right person to help us continue growing without burning out our lead agent. This role is ideal for someone dependable, organized, proactive, and comfortable wearing multiple hats.

You will be involved in both field work and phone work, so this position requires someone who is licensed, has a reliable working vehicle, and is confident in communicating with clients.

If you are detail-oriented, service-minded, and ready to be a true right-hand assistant in a fast-paced real estate environment, we would love to hear from you.

If you're looking to gain hands-on experience managing transactions from start to finish in a fast-paced environment, while receiving support and mentorship from high-producing agents, this could be a great opportunity for you.

Compensation:

$55,000 - $90,000 yearly

Responsibilities:

We are looking for a reliable, proactive, and highly organized Real Estate Assistant/Co-Listing Support Specialist to assist with listing coordination, client communication, appointment management, and day-to-day real estate operations.

This role is ideal for someone who enjoys being in the field, communicating with clients, keeping details organized, and helping a busy lead agent stay focused on high-value, revenue-producing activities.

Responsibilities Include:

  • Assist with co-listing responsibilities and support the lead agent throughout the listing process
  • Coordinate and manage appointments, showings, inspections, photos, access, and other listing-related activities
  • Communicate professionally and promptly with buyers, sellers, leads, agents, vendors, and clients
  • Perform phone work, including setting appointments, following up with leads, and nurturing clients
  • Help maintain organization across active listings, clients, transactions, follow-ups, and daily tasks
  • Support the overall client experience by ensuring communication and next steps are handled smoothly
  • Run local errands, attend appointments, assist with property access, and provide in-person support as needed
  • Help improve day-to-day systems, organization, and efficiency within the real estate business
  • Provide high-level support so the lead agent can focus on negotiations, client relationships, and revenue-generating activities
  • Be comfortable working in all Chicago neighborhoods, as well as the surrounding suburbs

The ideal candidate is dependable, detail-oriented, professional, comfortable on the phone, and willing to jump in wherever needed. Real estate experience is helpful, but strong communication, organization, reliability, and a great attitude are most important.

Qualifications:

What We’re Looking For:

The ideal candidate is a licensed real estate professional who is organized, dependable, proactive, and comfortable working directly with clients, agents, and vendors. This person should enjoy being both in the field and on the phone, helping keep listings, appointments, follow-ups, and client communication moving smoothly.

Requirements:

  • An active real estate license is required
  • Reliable working vehicle required
  • Comfortable traveling throughout Chicago and the surrounding suburbs
  • Strong communication and people skills
  • Comfortable making phone calls, setting appointments, and following up consistently
  • Highly organized and able to manage multiple moving parts at once
