Estate Assistant information

What is an estate assistant?

Estate Assistants are professionals who support the management and daily operations of private estates, large properties, or residences. Their duties often include administrative tasks, coordinating maintenance, managing household staff, scheduling events, and ensuring the property runs smoothly. They may also handle vendor relationships, oversee budgets, and assist with personal errands for the estate owners. The specific responsibilities can vary depending on the size and needs of the estate. Estate Assistants help ensure that all aspects of the property are well-organized and efficiently managed.

What are the key skills and qualifications needed to thrive as an estate assistant?

To thrive as an Estate Assistant, you need strong organizational abilities, attention to detail, and experience in property management or administration, often supported by a relevant diploma or certificate. Familiarity with property management software, scheduling systems, and basic bookkeeping tools is commonly required. Excellent communication, discretion, and problem-solving skills help you effectively support estate operations and interact with clients, staff, and vendors. These skills are essential for ensuring the smooth running of estate activities and maintaining high standards of service and confidentiality.

What are some typical challenges estate assistants face when managing multiple properties, and how can they effectively prioritize tasks?

Estate Assistants often juggle responsibilities across several properties, including coordinating maintenance, managing vendor relationships, and handling administrative duties. The main challenge is staying organized and responsive to urgent needs while maintaining routine tasks. Effective prioritization involves using digital tools for scheduling, maintaining clear communication with property managers and owners, and regularly reviewing task lists to address time-sensitive issues promptly. Building strong relationships with reliable vendors and staying proactive with preventive maintenance can also help minimize unexpected emergencies.

Job description

Summary
Launch Your Real Estate Career Through Real-World Experience
As a Showing Partner with Premier Home Team, you'll learn by doing. You'll tour homes, interact directly with buyers, and develop practical market knowledge through meaningful client experiences. This is an active, field-based role focused on participation, feedback, and professional growth, not cold calling or routine desk work.
How the Role Works
You'll partner with an experienced agent and become involved in their existing pipeline of motivated buyers from day one. Your main focus will be showing properties, supporting clients throughout the process, and helping guide qualified leads toward a purchase.
At the beginning, you won't be responsible for finding or managing your own clients. That opportunity will come as you build the skills, knowledge, and confidence needed to succeed independently.
As a Zillow Preferred team, we receive a consistent stream of buyer leads. You'll have regular opportunities to strengthen your communication skills, expand your understanding of the local market, and observe real transactions firsthand, all with ongoing coaching from the agent you support.
This Position May Be a Great Fit If You:
  • Thrive in fast-paced, hands-on environments
  • Prefer working in the field instead of behind a desk
  • Learn most effectively through active experience
  • Want to build confidence through consistent practice and client interaction
Availability Requirement: Evening and weekend availability is essential. These are the times when buyers are most likely to tour homes, and when your support will be needed most.
Responsibilities
  • Show homes to buyers on behalf of the agent you're supporting, based on their leads
  • Help move that agent's active leads from initial inquiry to in-person showings
  • Coordinate and confirm showing schedules with clients and teammates
  • Deliver a professional, punctual, on-point client experience every time
  • Relay client feedback and insights back to the team
  • Track your activity and client interactions in PLACE Technology
  • Show up for team meetings, trainings, and script practice
  • Keep learning: scripts, market knowledge, client communication
Qualifications
You don't need real estate experience. You need energy, reliability, and a genuine willingness to learn fast.
You might be a great fit if you:
  • Are newly licensed or actively working toward your license
  • Enjoy being out in the field, meeting new people every day
  • Handle a dynamic, sometimes unpredictable schedule with ease
  • Take real pride in being dependable and professional
  • Show up on time and follow through, every time
  • Communicate clearly and respond quickly
  • Take feedback well and act on it
  • Want to grow into a bigger role over time
About-our-team
Premier Home Team, powered by PLACE and Keller Williams Empower, serves buyers and sellers across Delaware and the greater Philadelphia Metro area. We're high-performance, team-oriented, and built around long-term growth for the people who join us.
As part of PLACE, you get in-house marketing and admin support, daily live training, and systems built to help you grow into a bigger role. Many of our agents started exactly where you are now: as a Showing Partner. From here, the path forward is real.
