Estate Assistant information

What are the key skills and qualifications needed to thrive as an estate assistant?

To thrive as an Estate Assistant, you need strong organizational abilities, attention to detail, and experience in property management or administration, often supported by a relevant diploma or certificate. Familiarity with property management software, scheduling systems, and basic bookkeeping tools is commonly required. Excellent communication, discretion, and problem-solving skills help you effectively support estate operations and interact with clients, staff, and vendors. These skills are essential for ensuring the smooth running of estate activities and maintaining high standards of service and confidentiality.

What are some typical challenges estate assistants face when managing multiple properties, and how can they effectively prioritize tasks?

Estate Assistants often juggle responsibilities across several properties, including coordinating maintenance, managing vendor relationships, and handling administrative duties. The main challenge is staying organized and responsive to urgent needs while maintaining routine tasks. Effective prioritization involves using digital tools for scheduling, maintaining clear communication with property managers and owners, and regularly reviewing task lists to address time-sensitive issues promptly. Building strong relationships with reliable vendors and staying proactive with preventive maintenance can also help minimize unexpected emergencies.

What is an estate assistant?

Estate Assistants are professionals who support the management and daily operations of private estates, large properties, or residences. Their duties often include administrative tasks, coordinating maintenance, managing household staff, scheduling events, and ensuring the property runs smoothly. They may also handle vendor relationships, oversee budgets, and assist with personal errands for the estate owners. The specific responsibilities can vary depending on the size and needs of the estate. Estate Assistants help ensure that all aspects of the property are well-organized and efficiently managed.

The Bagga Team is one of Edmonton's leading high-performance real estate teams, recognized for delivering exceptional client service, innovative marketing strategies, and outstanding results. As our business continues to grow, we are seeking a highly motivated, disciplined, and detail-oriented Inside Sales Associate (ISA) / Client Success Coordinator to join our organization.

This is a critical role within our team and extends well beyond traditional administrative responsibilities. The successful candidate will play an integral part in supporting our REALTORS, managing client relationships, maintaining the integrity of our CRM database, and ensuring every client receives a professional and consistent experience throughout their journey with The Bagga Team.

We are looking for an individual who possesses exceptional communication skills, outstanding telephone etiquette, strong organizational abilities, and disciplined attention to detail. The ideal candidate demonstrates a high level of personal accountability, exercises sound judgment, follows established systems and processes, and consistently produces accurate, high-quality work with minimal supervision.

This position requires someone who is proactive, dependable, and capable of working independently while effectively supporting a high-performing sales team.

The successful candidate must be able to prioritize competing responsibilities, manage multiple tasks simultaneously, adapt to changing priorities, and remain organized in a fast-paced environment. The ability to provide guidance, maintain accountability, and contribute to the overall productivity of the team is essential.

As an Inside Sales Associate, you will be responsible for responding to inquiries, nurturing new and existing leads, maintaining accurate records within Follow Up Boss, coordinating appointments, supporting lead generation initiatives, and ensuring timely follow-up with clients. You will also work extensively with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets, while collaborating closely with our REALTORS to help grow their businesses and deliver an exceptional client experience.

We are seeking a professional who takes pride in their work, values integrity, embraces continuous learning, and is committed to excellence in every aspect of their role. The successful candidate will represent The Bagga Team with professionalism, confidentiality, and a client-first mindset while contributing to a collaborative, accountable, and results-driven culture.

This opportunity is ideal for an individual who thrives in a high-performance environment, enjoys building relationships, is committed to personal and professional growth, and is motivated to make a meaningful contribution to one of Edmonton's leading real estate teams.

Compensation:

$30,000 - $60,000

Responsibilities:

  • Confidently answer and make a high volume of inbound and outbound telephone calls each day with professionalism, enthusiasm, and excellent communication skills.
  • Qualify buyer and seller leads by asking the appropriate questions, identifying client needs, and determining readiness before assigning opportunities to a REALTOR®.
  • Respond promptly to all new leads through phone calls, text messages, email, and CRM communication, ensuring company response-time standards are consistently met.
  • Build and maintain strong relationships with prospective clients through consistent follow-up and ongoing communication.
  • Nurture new leads, existing leads, past clients, and long-term prospects until they are ready to buy, sell, or refer business.
  • Schedule qualified listing appointments, buyer consultations, and other meetings for REALTORS®, ensuring calendars are accurate and well coordinated.
  • Maintain complete and accurate client records within Follow Up Boss, including notes, tasks, appointments, tags, stages, and communication history.
  • Ensure no lead, client inquiry, or follow-up opportunity is overlooked by maintaining exceptional database organization and CRM accuracy.
  • Work daily within Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets, to manage communication, scheduling, and team collaboration.
  • Monitor daily task lists and ensure all assigned responsibilities are completed accurately and on time.
  • Support every REALTOR® by assisting with lead management, appointment coordination, and client communication to help grow their individual businesses.
  • Follow established scripts, systems, and standard operating procedures while maintaining a natural, professional, and relationship-focused communication style.
  • Demonstrate excellent listening skills, handle objections professionally, and build trust with clients through meaningful conversations.
  • Maintain the highest level of confidentiality when handling client information, company records, and business operations.
  • Collaborate effectively with administration, marketing, and sales team members to ensure seamless communication and exceptional client service.
  • Identify opportunities to improve workflows, increase efficiency, and contribute to the continuous improvement of team systems.
  • Maintain a disciplined, organized, and proactive approach while managing multiple priorities in a fast-paced environment.
  • Take ownership of assigned responsibilities, demonstrate sound judgment, and consistently meet or exceed performance expectations.
  • Represent The Bagga Team with professionalism, integrity, and a commitment to delivering an exceptional client experience in every interaction.

Qualifications:
  • A valid Alberta real estate licence is considered a strong asset and will be given preference; however, it is not required for the right candidate.
  • Previous experience in inside sales, customer service, call centre, real estate, appointment setting, or client relationship management is highly preferred.
  • Exceptional verbal communication skills with a clear, confident, and professional telephone manner.
  • Comfortable spending a significant portion of the workday speaking with clients by telephone and building relationships through meaningful conversations.
  • Strong listening skills with the ability to ask effective questions, qualify opportunities, and confidently overcome objections.
