The
Executive Assistant is a senior-level administrative professional who provides high-level executive assistant support to the CEO and Executive Leadership Team (ELT), including complex calendar management, meeting and event coordination, board governance support, and liaison work with donors and community partners.
Top qualifications: - 5+ years of executive assistant or senior administrative support for C-level executives or nonprofit leadership.
- Experience with board of directors support, board meetings, minutes, and follow-up actions.
- Strong written and verbal communication, relationship-building, and stakeholder management skills.
- Advanced proficiency in Microsoft Office, calendars, and CRM/databases; comfort learning new systems and LMS (Brainier).
- Ability to work on-site in Foster City full-time, with flexibility for occasional evenings and weekends.

Key Responsibilities - Strategically manage the CEO's calendar, executive scheduling, email communications, and meeting logistics to optimize priorities and organizational impact.
- Lead and facilitate Executive Leadership Team (ELT) and Board/Executive Committee coordination, including schedules, agendas, materials, minutes, and follow-up actions.
- Serve as a trusted liaison among the CEO, Board of Directors, donors, staff, and community partners, ensuring seamless communication and proactive follow-through.
- Partner with the Chief Development Officer (CDO) and Development team to support fundraising efforts through donor coordination, meeting logistics, and stewardship tracking.
- Oversee executive expense reconciliations, invoices, subscription management, reporting, and administrative operations with accuracy and discretion.
- Drive cross-functional projects, leadership meetings, town halls, trainings, and staff engagement initiatives, ensuring alignment and execution across teams.
- Administer and optimize the Brainier Learning Management System (LMS), including content management, onboarding, training support, and user engagement for PJCC and partner JCCs.
- Represent and support executive leadership at agency-wide programs, events, and organizational initiatives while contributing to additional priorities as assigned.
Qualifications & Key Skills - Bachelor's degree preferred.
- 5+ years of senior-level administrative or executive assistant experience, ideally in a nonprofit or mission-driven organization.
- Proven experience supporting CEOs, C-suite leaders, and boards of directors, including board governance processes.
- Exceptional organization, time management, and project coordination skills; able to manage multiple priorities and deadlines.
- Strong interpersonal, written, and verbal communication skills; high professionalism, discretion, and confidentiality.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), calendar and email management, and CRM/databases; ability to learn and administer Learning Management Systems (LMS), such as Brainier.
- Ability to work independently and proactively in a fast-paced, collaborative environment.
