Job description

EXECUTIVE ASSISTANT

Exempt- Full-Time


The Executive Assistant has two functions with the primary function of providing executive and administrative assistance to the CEO. The Executive Assistant works closely with the Board of Directors and provides administrative support as needed.

Responsibilities

  • Committed to the Mission of Camillus Health Concern.
  • Coordinate all aspects of the monthly Board and Leadership Team meetings with the CEO including but not limited to presentation, refreshments and IT needs.
  • Acts as the liaison between the CEO and other directors, clients, employees and stakeholders as required and ensures timely communication.
  • Maintain records, contracts, marketing materials, files and other internal controls including conference room scheduling.
  • Support facilities team with the log maintenance and distribution of access keys.
  • Drive development efforts during Give Miami Day
  • Organize in-kind donation letters for all donations given to the clinic.
  • Assisting with preparation of expense reports and purchase orders
  • Draft correspondence, memorandums and other communication documents for publication on website and social media.
  • Prepare signage and communiques on clinic closures in accordance with schedule.
  • Maintains CEO calendar, appointments and schedules.
  • Performs office duties such as daily mail and courier services.
  • Filters meeting requests with CEO and gathers information in preparation for meeting.
  • Attend meetings as requested to organize and follow-up on action items.
  • Order general office, kitchen supplies and other items as required.
  • Arrange travel plans for CEO and for Leadership Team as required.
  • Coordinate special projects and/or perform any other department requested by CEO.
  • Maintain confidentiality in all aspects of third party and staff information

Requirements

  • College degree required (AA), Bachelor Degree preferred
  • Bilingual preferred (English/Spanish)
  • Computer literate and proficiency with MS Office Suite and social media platforms.
  • Ability to pay attention to details.
  • Ability to work with little supervision
  • Ability to communicate verbally and have good writing skills.
  • Must demonstrate discretion and confidentiality at all times.

Preferred Qualifications

  • Work effectively and productively in a team environment
  • Two to three years of administrative experience
  • Experience in copywriting, social media, and website maintenance
  • Previous experience in health care administrative positions
  • Culturally sensitive to the social, psychological and health care needs of the Homeless and/or underserved populations.
