Assistant Office Administrator
Psyche Registry Services (PRS)
Pay:
$21/hour. Will be increased to $23/hr after completing the 1month training/3 month probation  period
Employment Type: Full-Time
Schedule: Monday–Friday, choose either 8:30 AM–5:30 PM or 9:00 AM–6:00 PM

About Us
Psyche Registry Services (PRS) is a mental health–focused organization. Our team supports psychological and therapeutic services by coordinating care between patients, providers, and referral partners. Through our administrative services team, we manage scheduling, referrals, records, and communication to ensure evaluations and treatment services are delivered accurately, confidentially, and with professionalism.

Position Overview
The Assistant Office Administrator plays a key role in supporting psychological and mental health services by coordinating appointments, managing referrals, and assisting with administrative processes related to evaluations, treatment sessions, and legal documentation. This position requires strong organization, attention to detail, and a professional, patient-focused approach.

Preferred Qualifications

  • Previous experience in administrative, healthcare, mental health, or legal/records support roles
  • Strong customer service and communication skills
  • Proficiency with Microsoft Office and/or Google Workspace
  • Knowledge of HIPAA compliance and handling confidential information
  • Excellent attention to detail and ability to multitask in a fast-paced environment
  • Professional phone and email etiquette

Key Responsibilities

  • Schedule and coordinate appointments between patients and providers
  • Process and manage referrals from partner companies
  • Assist with psychological evaluations and treatment sessions, including but not limited to; psychotherapy and EMDR sessions.
  • Support administrative needs related to depositions, subpoenas, and records submissions
  • Maintain accurate and confidential patient and provider records
  • Communicate professionally with patients, providers, and referral partners via phone and email
  • Perform general administrative tasks including data entry, document management, and filing
  • Ensure compliance with HIPAA and confidentiality standards

Schedule & Benefits

  • Full-time, Monday–Friday
  • Choice of schedule: 8:30 AM–5:30 PM or 9:00 AM–6:00 PM
  • Fully paid health insurance DURING  probationary period (3 months). Once the probationary period ends, insurance payment will be 70% PRS and 30% you.
