JOB DESCRITION: ADMINISTRATIVE ASSISTANT/BOOKKEEPER 

SUMMARY OF WORK 

As Administrative Assistant/Bookkeeper (Assistant) for Diamond Bar United Church of Christ (DBUCC), this position is responsible for administrative tasks including record management, bookkeeping, secretarial and purchasing duties. The Assistant reports to the Pastor and has access to confidential and financial information. An effective working relationship with the DBUCC Council, Ministry teams, partners, tenants and visitors is required.

DUTIES

• Prepare DBUCC's monthly newsletter Connections, and distribute it digitally and by hard copy to the congregation and friends

• Prepare and distribute monthly Council Agenda and backup documents

• Prepare Congregational Meeting reports twice a year

• Update website and customer information database weekly

• Maintain filing system, including updating employee files

• Order supplies, receive deliveries and maintain inventory

• Update space rental agreements and coordinate with tenants

• Perform bookkeeping tasks using QuickBooks; reconcile bank checking and credit card statements; and record all financial transactions

• Process invoices for payment and maintain records of financial transactions

• Meet with external bookkeeper to reconcile data entries and budget accounts to ensure accurate reports

• Prepare biweekly payroll documentation 

• Assist in annual budget development process

• Perform other duties as required

• Monitor office phone and record messages

• Greet and assist visitors

EXPERIENCE

• Competency using QuickBooks

• Competency using Microsoft Office software such as Word and Excel

• Competency using a customer information management system such as Breeze

SKILLS

• Effective people skills including ability to negotiate and influence without being final authority on an issue

• Ability to handle details with accuracy; follow a multitude of varied tasks to completion; perform independently; and meet deadlines

QUALIFICATIONS

• Minimum of high school degree or GED

• Minimum of two years related work experience

• Experience and training that provides the required knowledge, skills, and abilities will be considered

SCHEDULE

20 hours per week, Monday through Thursday

Flexible daily schedule can be considered

SALARY RANGE • $27.64-$30.00 per hour
