Job Description

The Executive Director of association is responsible for the administrative and strategic aspects of the association and ensures successful delivery of quality association management services that are consistent across clients and in accordance with the association operating procedures. The ED provides leadership in strategic planning, operation procedures and effectively articulates the mission, vision, and goals of the association.

Reports to the COO and Director of Associations

 

Duties and Responsibilities:

· Prepares the annual budget for approval by the Board of Directors and monitors all subsequent financial activities, maintains the financial record and prepares periodic reports to the board.

· Develop delivery on best practices for the associations.

  • Cultivate strong relationships with association members, ensuring their needs and concerns are addressed.

· Development of business plans and operational plans annually tied to the association strategic plan and the annual budget.

· Regularly informed about fiscal and operational activities through ongoing informal communications and the presentation of periodic detailed reports on such matters as the status of contributions, earned income, expense, staffing, special event activities, community feedback.

· Develops and executes a series of targeted communications that inform members of events, trends, registrations, encourage benefit usage, and keep them informed and connected.

· Provide visionary leadership to drive organizational growth and success.

· Support new business development in all areas such as networking, proposal writing and presenting for new business strategies.

· Liaison to Board of Director including, if necessary, attending Board meetings, taking official minutes, contract/arrange for hotels, meeting space, meals, travel, etc.

  • Work with staff and board president to prepare agendas, reports, and materials for board meetings, and communicate such to the board in a clear and timely manner.

· Experience in overseeing governance functions to ensure that the association’s operations are consistent with legislative, regulatory and contractual obligations.

· Assign tasks and provide guidance to team members to ensure successful project execution.

· Responsible for training, performance reviews, disciplinary actions and staff retention strategies.

· Maintain accurate and up-to-date membership records, promptly updating changes, contact information, and membership status.

· Implement and lead a continuous quality improvement process throughout all program and service areas, focusing on systems/process improvement.

· Oversee all vendor contracts, event supports and planning.

· Promote the association's mission and objectives through effective communication and advocacy efforts.

· Oversee the day-to-day operations of the association, staff and programs, in close collaboration with working committee including conducting staff meetings to ensure all team members have a clear vision of their roles and activities.

· Performs other duties as assigned

 

Education/Qualification:

· Bachelor’s degree and 6- 8 years relevant work experience required

· Knowledge of association or non-profit associations, a must

· CAE is a plus

· Strong organizational abilities including planning, delegating, program development and task facilitation.

· Demonstrated leadership of managing multiple projects across multiple locations and departments

· Ability to effectively implement strategic planning initiatives with diverse groups of people.

· Ability to work in a fast-paced environment, effectively manage time, prioritize work, meet required deadlines, and multi-task across assignments.

· Ability to build consensus among conflicting points of view through active discussion.

· Proficient in computer applications including Microsoft Office Suite and Event management systems.

· Skills to collaborate with and motivate board members and other volunteers

· Strong experience in event planning

· Strong written and oral communication skills

· Assure processes are in place to protect confidential records of the association

· Author and implement practices to assure consistency and high quality support across all associations managed.
