About the Role

The Executive Assistant (EA) will provide comprehensive support to senior leaders within Wellington's Technology organization. This role serves as a key partner and trusted coordinator to technology leadership, requiring strong judgment, discretion, and the ability to operate effectively in a dynamic, fast-paced environment.

The ideal candidate is an experienced Executive Assistant who has supported senior technology leaders and understands modern technology operating models, including agile and product-based ways of working. This individual brings a proactive, anticipatory mindset; is comfortable navigating change; and takes pride in enabling leaders and teams to operate at their best. A positive attitude, strong critical thinking skills, and a curiosity for how emerging technologies—including AI—can drive efficiency and better outcomes are essential to success in this role.

RESPONSIBILITIES

The Executive Assistant will manage the overall daily support needs of assigned technology leaders, including but not limited to:

  • Proactively managing complex and evolving calendars across multiple time zones, anticipating conflicts and prioritization needs in a fast-moving technology environment
  • Coordinating logistics for internal and external meetings, including in-person, hybrid, and virtual sessions; preparing materials; and ensuring seamless execution
  • Partnering closely with leaders operating within agile and product-based models, supporting recurring forums such as sprint reviews, planning sessions, leadership syncs, and cross-functional meetings
  • Managing domestic and international travel arrangements when required, preparing detailed itineraries and resolving issues quickly and independently
  • Acting as a reliable point of contact for internal and external stakeholders, exercising sound judgment and discretion when handling sensitive or time-critical matters
  • Supporting team operations through preparation of materials, tracking action items, and helping leaders maintain focus on priorities
  • Leveraging technology and AI-enabled tools to streamline workflows, improve organization, and enhance efficiency across administrative and operational tasks
  • Assisting with onboarding and offboarding activities, maintaining team documentation, shared drives, and process materials
  • Providing cross-coverage and back-up support to other Executive Assistants as needed, contributing to a collaborative and supportive admin community
  • Taking on ad hoc projects and process-improvement initiatives aligned with the evolving needs of the Technology organization

QUALIFICATIONS

  • Minimum of 5-10 years of experience as an Executive Assistant or senior administrative professional, with demonstrated experience supporting senior technology leaders
  • Experience working in technology, financial services, or other professional services environments is strongly preferred
  • Familiarity with agile, product, or iterative delivery models , and comfort supporting leaders in fast-changing, matrixed organizations
  • Strong critical thinking and problem-solving skills, with the ability to anticipate needs and act independently
  • Demonstrated ability to remain flexible, composed, and positive in the face of shifting priorities and ambiguity
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), with enthusiasm for adopting new tools and technologies, including AI-enabled solutions , to improve efficiency
  • Exceptional organizational skills, attention to detail, and commitment to high-quality work
  • High degree of professionalism, integrity, and discretion in handling confidential information
  • Outstanding interpersonal and communication skills, with a service-oriented mindset and collaborative approach

Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:

USD 60,000 - 110,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.

Base salary is only one component of Wellington's total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
