Job description

Dreamscape Learn is seeking a highly organized, proactive and discreet Executive Assistant to support our Chairman across both his responsibilities at Dreamscape Learn and his personal and household needs.

This is a unique hybrid role, with approximately 50% of time dedicated to supporting the Chairman in his capacity at Dreamscape Learn and 50% providing personal and household support.

The ideal candidate is an exceptional organizer and problem solver who is comfortable managing a dynamic schedule, coordinating across professional and personal priorities, and taking ownership of whatever is needed to keep things running smoothly. They will exercise excellent judgment, maintain the highest level of confidentiality and be equally comfortable coordinating an important business meeting, managing household contractors, arranging complex travel or handling a personal errand.

The role requires a minimum of three days per week in person at the Chairman's residence in Santa Monica, with additional flexibility as needs arise.

Executive / Dreamscape Learn Support
  • Manage the Chairman's business calendar, meetings, appointments and conference calls.
  • Coordinate with Dreamscape Learn executives, Board members and other internal and external stakeholders.
  • Understand priorities, anticipate needs and proactively manage scheduling conflicts and follow-ups.
  • Coordinate domestic and international travel, including flights, accommodations, transportation and itineraries.
  • Prepare meeting materials, agendas, correspondence, presentations and other documents as required.
  • Manage expenses, receipts and administrative records.
  • Conduct research and assist with special projects as needed.
  • Maintain a high degree of professionalism, discretion and confidentiality in all interactions.
Personal & Household Support
  • Manage the Chairman's personal calendar, appointments, reservations and commitments alongside his professional schedule.
  • Coordinate personal and family travel, including transportation, accommodations and itineraries.
  • Support the day-to-day management of the Chairman's Santa Monica residence.
  • Coordinate household vendors, contractors, maintenance, repairs and other service providers, including scheduling appointments and overseeing work at the home as required.
  • Manage personal expenses, purchases, returns, deliveries, appointments and other administrative needs.
  • Handle personal errands and occasional local driving as needed.
  • Research, coordinate and make arrangements for personal projects, events, services and purchases.
  • Anticipate needs and proactively resolve issues before they require the Chairman's attention.
  • Provide flexible, hands-on support across a wide variety of personal and professional needs, with a willingness to assist wherever required.
  • 5+ years of experience as an Executive Assistant, Personal Assistant, Household Manager, Family Assistant or in a similarly high-touch support role.
  • Experience supporting a senior executive, founder, principal or high-profile individual strongly preferred.
  • Exceptional organizational, calendar management and prioritization skills.
  • Highly proactive, resourceful and able to anticipate needs and solve problems independently.
  • Excellent judgment and demonstrated ability to handle confidential and sensitive information with absolute discretion.
  • Strong written and verbal communication skills.
  • Comfortable working autonomously and managing multiple professional, personal and household priorities simultaneously.
  • Service-oriented and willing to take ownership of tasks both large and small.
  • Ability to work in person in Santa Monica a minimum of three days per week, with flexibility based on the Chairman's schedule and needs.
  • Valid driver's license and reliable transportation required. Driving responsibilities are expected to be minimal but may occasionally be required for errands or other local needs.
  • Flexibility to occasionally support time-sensitive matters outside standard business hours.
