We're partnering confidentially with an early-stage AI company operating at the frontier of intelligent technology.
With a small, highly collaborative team and ambitious goals, this organization is building quickly, solving complex problems, and creating with intention. As an early-stage environment, every person has meaningful ownership and direct influence on how the company grows.
They're seeking an exceptional Executive Assistant to Founder who thrives where priorities shift quickly, decisions happen in real time, and no task is too small when it helps move the business forward.
This is not a traditional Executive Assistant role.
Designed as approximately **80% Executive Support and 20% Office Operations**, this opportunity is ideal for someone who enjoys building structure inside fast-moving environments and balancing executive partnership with operational ownership.
You'll work directly alongside the Founder while helping create an office environment that allows the team to do its best work.
The Role
As Executive Assistant to Founder, you will serve as a trusted extension of leadership-creating leverage, increasing executive effectiveness, and helping maintain momentum across the business.
You'll own executive operations including calendars, travel, meetings, communications, and follow-through while also supporting office operations and employee experience.
Success in this role requires strong judgment, adaptability, exceptional organization, and a proactive mindset.
What You'll Do
Executive Support (Approx. 80%)
• Partner directly with the Founder to maximize focus, execution, and operating efficiency
• Manage a highly dynamic calendar across internal and external stakeholders
• Coordinate domestic and international travel arrangements and logistics
• Support inbox management and help prioritize communications and decision-making
• Prepare agendas, meeting materials, notes, and follow-up actions
• Track projects and maintain momentum across key initiatives
• Anticipate bottlenecks and proactively solve operational challenges
• Act as an extension of the Founder to maintain alignment across teams
• Handle sensitive and confidential information with professionalism and discretion
Office Operations (Approx. 20%)
Help create an office environment that enables teams to operate at their highest level
• Support day-to-day office operations and administrative coordination
• Manage vendor relationships, supplies, and workplace logistics
• Contribute to employee experience initiatives and internal events
• Help maintain an organized, efficient, and welcoming office environment
• Support scaling processes as business needs evolve
What You'll Bring
• 4+ years of experience in Executive Assistant, Executive Business Partner, Administrative Business Partner, Office Manager, or similar roles
• Experience directly supporting a Founder, CEO, executive leader, or startup leadership team
• Startup experience strongly preferred
• Exceptional calendar, scheduling, travel, and executive operations experience
• Experience balancing executive support with business or office operations responsibilities
• Strong communication and stakeholder management skills
• Ability to operate effectively inside fast-moving and evolving environments
• Strong judgment and prioritization across competing requests
• High ownership mentality with a proactive approach to execution
• Comfortable wearing multiple hats and stepping beyond traditional role boundaries
• Familiarity with modern productivity and AI tools is a plus
