Position:                                Executive Travel Coordinator

Department:                       8AM Administration 

Employment Status:      Full-Time, Exempt (Hybrid or Remote)

Office Location:                 Scottsdale, AZ

Summary:

The Executive Travel Coordinator supports senior leaders and executives by managing business travel arrangements and ensuring a smooth, well-organized travel experience. This role requires strong attention to detail, sound judgment, and the ability to handle complex itineraries with professionalism and discretion. The ideal candidate is organized, composed, and experienced in supporting high-level executives in a corporate environment.

Job Specific Responsibilities and Duties:

   Arrange domestic and international travel for executives, including flights, accommodations, ground transportation, and related logistics
   Manage multi-leg and multi-city itineraries and accommodate schedule changes as needed
   Coordinate travel details in alignment with executive calendars and business priorities
   Serve as a primary point of contact for executive travel-related questions and updates
   Assist with rebooking, delays, and travel disruptions in a timely and professional manner
   Provide travel support before, during, and after trips to ensure continuity and minimal disruption
   Work with travel vendors, airlines, hotels, and transportation providers to secure appropriate arrangements
   Ensure travel bookings follow company travel policies and guidelines
   Assist with travel-related documentation and expense coordination as needed
   Handle sensitive travel and scheduling information with confidentiality
   Communicate clearly and professionally with executives and external partners
   Maintain a steady, solutions-oriented approach in time-sensitive situations

Qualifications:

   Two to five years related experience 
   Must have international and national travel planning experience
   Experience supporting senior leaders or executives in a professional office environment
   Strong organizational skills and attention to detail
   Excellent written and verbal communication skills
   Ability to manage multiple priorities and adapt to changing schedules
   Familiarity with corporate travel booking tools and expense systems
   Comfort providing limited after-hours support when travel changes arise
