BB&E is an employee-owned full service civil and environmental engineering and consulting firm, headquartered in Northville, Michigan, which services both the Federal and Industrial sectors throughout the United States. BB&E team members provide Environmental Consulting, Facilities Engineering and Program/Project Management Services to Federal and private sectors.
Position Summary
BB&E is seeking a dynamic and detail-oriented Senior Administrative Professional to join our team, providing proactive logistical support to the Air Force Civil Engineer Center (AFCEC) Natural Disaster Recovery Directorate (NDR) at Tyndall AFB, FL.
Job Duties & Responsibilities
- Work with Defense Travel System (DTS) Help Desk to verify all personnel are populated within the correct Division and all Action Officers (AOs) have proper access in DTS
- Provide temporary duty (TDY) support; coordinate Division-level review and approval of Branch and Section personnel TDYs; prepare, track, adjust/amend, complete, and/or cancel travel requests
- Prepare, track, adjust/amend, complete, and/or cancel travel orders in DTS for TDY trips and prepare travel read aheads and itineraries
- Obtain Budget Analyst (BA) verification of funds availability and submit to for endorsement; work with Budget Analysts to ensure sufficient funding is loaded on lines of accounting (LOAs) in DTS; balance and correct DTS vouchers for compliance
- Prepare and submit Emergency Requests for approval of unexpected travel
- Provide Graphics Support and prepare draft presentations for high level briefing slides for MAJCOM, HAF and DRPM
- Perform daily calendar management and assist with resolving conflicts
- Provide logistical support to the NDR to support the continual function of the Division on a daily basis; read incoming correspondence, publications, regulations, and directives which may affect the organization, determine which can be acted on and take appropriate action, such as obtain clarification from originating offices when necessary, determine which ones impact/affect subordinate units and ensure units are informed, assist personnel in interpreting instructions, and establish action required
- Receive telephone calls, greet visitors, and ascertain the nature of the calls or visits; based upon detailed knowledge of the organization and its programs and operations
- Maintain scheduling and coordination of daily calendars; coordinate Division-level calendars with internal and external stakeholders, branch, and section level staff; schedule and assist with facilitating in in person and virtual meetings.
- Organize the employee recall rosters and assist in Division-level review, coordination, and consolidation of Branch and Section updates
- Assist in Division-level review, coordination, and consolidation of Branch and Section submittals; review various documents for accuracy and coordinate signatures; ensure correspondence meets Air Force standards appropriate to the customer served, including senior executive leadership, higher headquarters, Congressional, or other senior level internal and external stakeholders
Key Qualifications
- U.S. Citizenship and the ability to obtain/maintain a DoD Government Security Clearance (NACI) is required

- Experience: Must have a minimum of five (5) years of experience in administrative work
- Education: A minimum of a bachelor's degree is required.
• Ability to stand/walk/climb/kneel/crouch and remain in a stationary position/sit at least 60% of the time
• Ability to operate office equipment, including computer, copy machine, phone, etc.
• Ability to use hands to finger, handle or feel objects or controls; reach with hands and arms
• Capable of lifting up to 10 lbs.
• Ability to see details of objects that are less than a few feet away
• Ability to understand the speech of another person, speak clearly so listeners can understand, and talk or hear both in person and by telephone
