Contracts Administrator

Job Summary:

We are seeking a skilled and detail-oriented Contracts Administrator to join our legal team on a full-time basis. The ideal candidate will provide comprehensive support to our contracts team, ensuring the smooth handling of legal documentation, research, and administrative tasks. Key Job Responsibilities:

  • Prepare, analyze, review, and manage non-disclosure agreements with customers, suppliers and third-party vendors.
  • Assist in drafting and reviewing a wide variety of agreements, including vendor, service, and SaaS agreements.
  • Manage and maintain the company's Contract Management Solution (CMS) to ensure among other requirements that (i) all contracts are stored, duly executed and approved; (ii) all contract's supporting documentation is stored and available (iii) ensure that contracts submitted for review are assigned within the contracts team, (iv) ensure that all information in the contracts aligns with the information included within the CMS and other digital repositories of the company, (v) ability to evaluate and suggest improvements that enhance user experience and system usability of CMS.
  • Complete contract review forms.
  • Ensure all contracts comply with company policies and procedures and provide strong critical thinking and collaboration skills to effectively help develop innovative solutions that support the development and/or improvement of such policies and procedures.
  • Monitor contract deadlines, ensuring timely renewals, amendments, and terminations.
  • Collaborate with legal, procurement, sales, finance, and project management teams to support contract lifecycle management.
  • Maintain and update the legal department's databases and tracking systems.
  • Coordinate and schedule meetings, conference calls, and other Contracts Team activities.
  • Handle administrative tasks such as processing invoices, managing correspondence, and organizing files.

Qualifications:

  • Either commercial contract management, paralegal, or procurement related certifications.
  • 3+ years of experiencein contract administration or paralegal work preferably related to the purchase and sale of goods.
  • Experience in legal research.
  • Proficiency in Adobe Acrobat and Microsoft Office Suite.
  • Proficient handling of e-signatures.
  • Familiarity with legal research tools and databases.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a high degree of accuracy in work.
  • Ability to handle confidential information with discretion.
