Job description

Contract Administrative Assistant, HR & Finance Operations

Game 7 Staffing· Austin, TX ·Fixed-term contract, 6–9 months (extension possible) ·$25–33/hour


The short version

Our HR Director and Finance Controller are heads-down on a systems-improvement project for the next couple of quarters. The recurring work still must happen every week: timekeeping exports, invoice follow-ups, onboarding packets, DocuSign routing, timesheet reminders. We are hiring someone to take that work off their plates so they can focus on the build.

If you like structured, repeatable work and get real satisfaction out of a clean spreadsheet and an empty inbox, this will suit you. The role is time-bound by design, so it fits well for anyone who wants a defined-length engagement.


What you would actually do


Finance and accounting support

  • Pull timekeeping data out of our timekeeping portal and get it into the right workbooks
  • Maintain Excel files for financial reporting
  • Help prepare and submit tax information and filings
  • Send payment reminders and follow up on past-due invoices (accounts receivable)
  • Reconcile various income statements and balance sheet accounts


HR and people operations support

  • Send onboarding paperwork to new hires and contractors through our onboarding portal
  • Prepare and route documents for signature in DocuSign
  • Send timecard and timesheet reminders to contractors and clients
  • HR administrative data entry and recordkeeping


Across both

  • Keep records accurate and current in every system you touch
  • Document processes, so the SOPs outlast the contract
  • Ad hoc support for the HR and Finance teams


What you need

  • 2+ years in administrative, bookkeeping, HR coordination, AP/AR, or operations support
  • Excel experience you can lean on: cleaning exported data, formulas, VLOOKUP/XLOOKUP, pivot tables
  • Comfort learning web-based portals (timekeeping and payroll, onboarding, e-signature)
  • Accuracy with numbers and discretion with payroll, tax, and personal information
  • Clear written communication, since you will be emailing contractors and clients directly
  • The ability to run on your own once you are trained

Helpful, not required: QuickBooks or similar accounting software, familiarity with 1099s and tax documentation, prior contract or temp experience, and an interest in cleaning up messy workflows.
