The Role:

The HR Administrator provides administrative support to the Benefits team by assisting with the implementation, administration, and maintenance of the Company's health and welfare benefit programs. This position supports quality assurance efforts related to benefit eligibility, billing, and reporting through the creation, preparation, distribution, and maintenance of reports, employee communications, records, and spreadsheets.

Day to Day:
  • Serve as a knowledgeable benefits resource for employees and retirees by responding to benefit-related inquiries by phone, email, or in person, including questions that require research, follow-up, and coordination with internal partners or vendors.
  • Provide employees with the necessary materials and information to add or remove dependents from benefit plans.
  • Support new hire and employee transfer orientations by providing benefit materials and following up to ensure benefit elections are completed through the benefits portal.
  • Assist with annual open enrollment activities and employee benefit communications.
  • Assist with the administration of the Wellness Program, including developing benefit communications and newsletters, and coordinating wellness initiatives such as flu shot clinics and employee education sessions.
  • Send COBRA notices to non-bargaining unit employees.
  • Reconcile monthly COBRA payments and issue related notices as needed.
  • Communicate with insurance carriers, third-party administrators, and benefit vendors as needed.
  • Process and reconcile Flexible Spending Account (FSA) and Health Savings Account (HSA) contribution files against vendor records for each payroll.
  • Manage end-to-end accommodation requests and communications, including intake, documentation, tracking, and interactive process coordination; partner with managers and Leave Administrator on complex cases; ensure ADA/state compliance and maintain confidential, accurate records with escalation as needed.
  • Reconcile and process payment of monthly benefit vendor invoices.
  • Support Payroll during payroll processing by monitoring and tracking benefit deductions that require manual administration.
  • Enter, update, and maintain employee benefit data in the SAP Human Resources Information System (HRIS).
  • Perform audits and reconciliations of benefit billings; maintain benefit records via SharePoint.
  • Assist with benefit-related tasks, projects, and special assignments as requested.
  • Support the Company's commitment to a culture of safe work practices.
  • Provide backup to the HRIT team for reporting and inputting employee transactions.
Come on your first day with:
  • Bachelor's degree in a related field or equivalent combination of education and experience.
  • Minimum of 3 years of experience in employee benefits administration. Level 3 requires 5 or more years of progressively responsible benefits experience with demonstrated subject matter expertise.
  • Proven knowledge of employee benefits programs, administration processes, and applicable regulations.
  • Demonstrated experience with healthcare billing and eligibility management.
  • Ability to work effectively in a collaborative, cross-functional environment and communicate complex information clearly to diverse audiences.
  • Proven ability to resolve complex and sensitive issues with professionalism, sound judgment, diplomacy, and discretion.
  • Demonstrated customer focus with the ability to balance and respond to the needs of employees, retirees, vendors, and business partners.
  • Customer service skills, including the ability to successfully manage conflict and negotiate positive outcomes.
  • Positive, adaptable, and collaborative interpersonal style.
  • Written communication skills, including experience preparing reports, correspondence, meeting minutes, and employee communications.
  • Excellent attention to detail with a high degree of accuracy, organization, and follow-through.

  • Ability to manage competing priorities, meet deadlines, and effectively coordinate multiple projects simultaneously.
  • Demonstrated ability to maintain confidentiality and handle sensitive employee information with discretion.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; experience with internet-based research and Human Resources Information Systems (HRIS). SAP experience is strongly preferred.

Preferred:

  • Familiarity with state leave laws and leave administration practices.
  • Experience supporting defined benefit pension plans.

Base salary range: $74,800.00 - $102,600.00 (Level 2) or $88,700.00 - $126,350.00 (Level 3) per year, depending on qualifications

Annual Target Incentive: Level 2, 7.5% target
                                           Level 3, 9.5% target
Targets are calculated using eligible earnings during plan year participation. Payout, if earned, is based on company and individual performance for each plan year and may range from 0% - 200% of target. Targets are subject to change in subsequent plan years. Must be employed by September 30 in order to receive any prorated payout.
