Function/Duties of Position

The Program Administrator 2 reports directly to the co-directors of the Center for Experimental Therapeutics (CET) and manages administrative operations for the CET and its affiliated divisions, including the Center for Radiochemistry Research (CRR) and the Knight Cancer Institute. In addition to high-level executive support-such as complex calendar management, travel coordination, and confidential document preparation-the role oversees daily business operations. Key duties include managing supply purchasing, processing reimbursements, soliciting equipment quotes in Oracle, and preparing quarterly reports on resource usage, scientific impact, invoicing, and billing. The Administrator also collaborates with HR to drive recruitment, interview panels, and student/staff onboarding, while partnering with Knight Finance and Grants Management to assist with annual budgeting, business model reviews, and executive reporting.

This demanding position requires exceptional attention to detail, polished writing skills, and the utmost discretion when handling sensitive information. Serving as a primary liaison to internal teams, external partners, GRAs, and patients, the Administrator must work independently and resourcefully in a high-expectation environment. Success in the role relies on strong critical thinking, proactive problem-solving, and a high degree of tact, diplomacy, and flexibility across all responsibilities.

Required Qualifications
  • Bachelor's degree and five years of related program/project management experience
  • At least two years of supervisory or management experience
  • 3+ years' experience in a research environment as a researcher or administrator
  • 2+ years' experience coordinating projects or programs
  • Ability to thrive in an ambiguous environment
  • Demonstrative creative and proactive problem solving
  • Must demonstrate advanced organizational skills and experience handling confidential information
  • Demonstrated Proficiency with MS Office (Word, Excel, Outlook, and PowerPoint)
  • Ability to demonstrate tact, diplomacy, and excellent judgment in representing the Knight Cancer Director, the institute, and OHSU, and to maintain effective working relationships with all customers
  • Experience with managing a busy executive's calendar, including weighing competing priorities and collaboratively working with others to identify times for meetings while protecting the executive's time
  • Ability to prioritize and complete a high volume of tasks and projects by deadline
  • Experience with meeting and event planning
  • Excellent communication skills, verbal and written, including editing skills
  • Excellent analytical and organizational skills
Preferred Qualifications
  • Master's degree
  • Science background
  • 5+ years' experience in a research environment as a researcher or administrator
  • 1+ year lab management experience or supervisory experience
  • Oncology experience
  • HR experience
  • Proficiency with Access, Adobe Professional, Photoshop, Illustrator, Endnote, Oracle, and HHMI P2P and Smartsheet
  • Oracle experience, including iExpense
