Job description

The University of Alabama at Birmingham (UAB) seeks a PROGRAM ADMINISTRATOR II to administer the logistical support for the Department Chair Office to include, but not limited to, personnel support, specifically Adjunct, Irregular, Volunteer and Secondary faculty appointments and actions, projects and report support, data management support, including ensuring compliance with licensure, certification, health and training requirements. Provides program management/coordination and office support for the Department Chair Office including calendar management for Department Chair. Helps manage recurring events and special projects related to the School of Nursing as assigned by the Department Program Manager II and/or Department Chair. Independently, in a confidential and professional manner; creates, establishes and/or maintains records, charts, graphs, spreadsheets, databases, and reports; prepares, processes and tracks correspondences. The direct report for this individual is to the Department Program Manager II and Department Chair, or Program Director (if applicable). 
RESPONSIBILITIES: 
1. Under the supervision of the Department Program Manager II, works with Chair, Associate Deans and SON Human Resources Office to process hiring and reimbursement paperwork for adjunct instructors. 
2. Facilitates all contract renewal and processing for Adjunct and Irregular faculty appointments. 
3. Provides administrative support to the Department Program Manager II with such communications as manuscript production, letters of support, PowerPoint presentations, other departmental correspondence. May handle sensitive or specialized correspondence with faculty, students, administration, staff, and other constituents as needed. 
4. Responsible for accurate input, maintenance, and management of appropriate databases and filing systems. 
5. Provide confidential administrative support to the Program Manager II and Department Chair and in all aspects of the role and assist in other non-specified additional duties as requested such as but not limited to data analysis and report preparation and dissemination. 
6. May be responsible for taking minutes for Departmental meetings and other meetings as requested, records/transcribes as requested. 
7. Participate and represent the department as needed in support role for internal, campus-wide, and external meetings when appropriate as directed. Provides project and report support. 
8. Assists in orientation of new department faculty to School and Department processes. 
9. Assists with management of department equipment, supplies, and designated resource rooms. 
10. Composes, types, updates, proofreads, and edits general correspondences, memos, grant materials, presentation materials, forms, and recurring reports. Types and monitors correspondence by email. May transcribe minutes as requested. 
11. May run errands, fax, sort and distribute departmental mail, copy, scan and input materials for department. 
12. May serve as backup for other individuals in departments within the School of Nursing. 
13. Works directly with other Chair support staff in planning, providing logistical and administrative support for projects and events as appropriate. 
14. Act as a resource to faculty, staff, students, and administrators to determine the general, financial, and administrative services required to plan and execute the mission of the department and SON.
(Hourly Rate:  $18.35  -  $29.80)
Bachelor's degree in a related field and one (1) year of related experience required OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
The work of this position will require database management skills, administrative experience, and demonstrated knowledge of UAB specific policies and procedures. The position requires the individual to have a very strong working knowledge of APA formatting, Microsoft Word, Excel, Access, PowerPoint and Oracle systems. To be successful in this position an individual should possess strong organizational, communication, work ethic and interpersonal skill.
