DESCRIPTION
Is it your calling to support military medical readiness and training? Avosys is seeking a Training Program Administrator to support the Air Force Reserve Command (AFRC) Mercy Health Systems Trauma Training Program at Mercy Hospital in St. Louis, Missouri.
This position supports a comprehensive medical readiness training program that provides Air Force Reserve medical personnel with advanced clinical training and hands-on experience in trauma and critical care environments. The Training Program Administrator will coordinate training schedules, administrative activities, medical training documentation, stakeholder communications, and program logistics across the Mercy Health System.
The successful candidate will work closely with military leadership, healthcare educators, medical personnel, civilian healthcare organizations, universities, and other program stakeholders to ensure training requirements are coordinated effectively and program activities are completed on schedule.

TITLE: Training Program Administrator
LOCATION: Mercy Health Hospital, 615 S New Ballas Rd, St. Louis, Missouri 63141
HOURS:
  • Monday through Friday
  • Standard schedule: Monday 6:30 a.m. - 3:30 p.m.
  • Tuesday through Friday: 7:00 a.m. - 4:00 p.m.
  • One weekend per month may be required during Reserve Unit Training Assembly (UTA)
  • Weekend UTA schedule: Saturday and Sunday, approximately 7:00 a.m. - 3:30 p.m.
  • Days off will be coordinated around weekend training requirements
  • Occasional after-hours support may be required
  • Schedule may be flexible based on training requirements
  • Work schedule will be coordinated to support program and training needs.

Contract Overview
The Training Program Administrator supports the Air Force Reserve Command's Comprehensive Medical Readiness Program (CMRP) training activities conducted through the Mercy Health System.
Mercy Health System provides a comprehensive healthcare environment that includes trauma centers, stroke centers, STEMI centers, intensive care units, neonatal intensive care, neuroscience, emergency medicine, and other specialized clinical services. This environment enables Air Force Reserve medical personnel to complete required medical readiness training and annual training exercises.
The Training Program Administrator serves as a key administrative and coordination resource for military personnel participating in the program and works closely with military leadership, healthcare educators, clinical teams, and external partners.
Position Summary
The Training Program Administrator is responsible for coordinating medical training schedules, maintaining training rosters and documentation, supporting military personnel, facilitating training logistics, and coordinating activities across Mercy Health System locations and participating organizations.
This role requires a highly organized professional who can manage multiple schedules, communicate effectively with military and civilian stakeholders, maintain accurate records, coordinate training requirements, and support the day-to-day administration of a medical training program.
Prior healthcare administration, project coordination, military training, or clinical healthcare experience is highly desirable.
Minimum Qualifications
  • Bachelor's degree in Healthcare Administration, Business, or a related field.
  • Minimum five (5) years of proven experience as a healthcare administrator, certified project manager, or in a related field.
  • Extensive knowledge and understanding of applicable Air Force and professional standards.
  • Knowledge of military and civilian policies, guidelines, and procedures.
  • Strong project coordination and administrative management skills.
  • Strong interpersonal and relationship-building skills.
  • Excellent written and verbal communication skills.
  • Ability to prepare professional reports, correspondence, documentation, and presentations.
  • Ability to coordinate multiple schedules, activities, and stakeholders simultaneously.

Preferred Qualifications
  • Master's degree in Healthcare Administration, Business, or a related field.
  • Prior experience working in a healthcare environment.
  • Experience in a clinical trauma, Emergency Room (ER), or Intensive Care Unit (ICU) environment.
  • Experience supporting military medical training or readiness programs.
  • Experience working with Air Force, Department of Defense, or other military organizations.
  • Certified Project Management Professional (PMP) or similar project management certification.
  • Experience coordinating healthcare education or clinical training programs.
  • Experience working with universities, healthcare systems, military organizations, or other external partners.

Essential Duties and Responsibilities
  • Coordinate training schedules for military personnel across participating Mercy Health locations.
  • Develop and maintain monthly training rosters containing personnel trained, training dates, and completed training requirements.
  • Assist with developing and maintaining annual training schedules based on fiscal-year requirements.
  • Coordinate with Reserve units to ensure required scheduling information and training documentation are submitted within established timelines.
  • Provide administrative support to military personnel assigned to Mercy Health.
  • Assist with member registration and onboarding on the first day of training.
  • Coordinate badge procurement, identification badges, scrubs, and other required training materials.
  • Prepare training and in-processing packets for participating military personnel.
  • Coordinate with Mercy Health's simulation laboratory point of contact to schedule training and facility usage.
  • Assist in facilitating informational tours for visiting military leadership, dignitaries, public organizations, and other visitors.
  • Coordinate meeting rooms, parking, refreshments, itineraries, and other logistical requirements for program activities.
  • Collect, review, and maintain After Action Reports, surveys, and other training feedback.
  • Compile training results and assist with reporting program outcomes and improvement opportunities.
  • Coordinate updates and reviews of Training Affiliation Agreements (TAAs), Memoranda of Agreement (MOAs), and Memoranda of Understanding (MOUs) with participating organizations.
  • Coordinate with civilian universities, military organizations, legal departments, and other stakeholders regarding training agreements and program requirements.
  • Maintain training contacts and capabilities information and update program rosters as required.
  • Answer phone calls and correspondence and provide professional administrative support to program personnel.
  • Maintain files, records, databases, correspondence, and other program documentation.
  • Schedule meetings, rooms, and other resources necessary to support training activities.
  • Coordinate with Mercy Health departments, including housekeeping and security, to support operational security and badge-control requirements.
  • Assist military leadership and educators in facilitating didactic and hands-on clinical training activities.
  • Support additional administrative, training, and program coordination activities as required.

  • The position will primarily be performed on-site at Mercy Health Hospital. Temporary alternate work locations, including telework, may be authorized based on program requirements.
