Job description

BigFoot Staffing is working with an established industrial equipment company to hire a Parts Administrator. This is a direct hire opportunity with a company that supports customers through equipment sales, service, parts, and ongoing technical support.


This position is ideal for someone who enjoys customer communication, order coordination, and keeping details organized. The Parts Administrator will help customers finalize parts needs, confirm order details, coordinate internal follow-up, and make sure parts-related requests are handled accurately and efficiently.


This role has some overlap with inside sales, but the primary focus is order accuracy, customer support, and parts administration rather than prospecting or account growth. A background in parts, industrial products, mechanical equipment, distribution, manufacturing, or service support would be helpful, but the company is also open to strong administrators or customer service professionals who are tech savvy and eager to learn.


Job Duties:

  • Communicate with customers regarding parts requests, order details, availability, pricing, and follow-up needs
  • Help finalize order information and ensure details are accurate before processing
  • Enter, organize, and track parts orders using internal systems
  • Coordinate with internal teams to confirm information, resolve questions, and keep orders moving
  • Follow up with customers regarding open orders, missing details, status updates, and related questions
  • Support the parts department with administrative tasks, documentation, and order organization
  • Help identify customer needs and route technical questions to the appropriate internal resource
  • Maintain accurate customer, order, and parts-related records
  • Provide professional, responsive service by phone and email
  • Assist with general department workflow and help ensure customers receive timely support


Qualifications:

  • 2+ years of customer service, order entry, administrative support, inside sales support, parts, or related experience
  • Strong attention to detail and comfort working with order information, part numbers, pricing, and customer notes
  • Comfortable using computers, email, spreadsheets, databases, and business software
  • Able to communicate clearly with customers and internal team members
  • Organized, dependable, and able to manage multiple open items at once
  • Mechanical, industrial, equipment, distribution, manufacturing, or parts-related experience is a plus
  • Ability to learn product and equipment terminology over time
  • Comfortable asking questions and following through until details are confirmed
