Location: Hybrid - Thousand Oaks, CA

Employment Type: Contingent Worker (Contract, W2)

Contract Length: 8 months (possible extension)

Compensation: $30/$35 per hour (based on experience)

Summary of the Role

Support the Accelerating Talent team in ensuring smooth, consistent, and high-quality delivery of talent development programs across the U.S. Commercial organization of a big biopharma leader. Coordinate logistics, maintain process clarity, and enable strategic projects to elevate employee development, capability, and engagement. Provide disciplined execution and thoughtful organization to build meaningful experiences that drive employee growth.

Key Responsibilities
  • Provide detailed support across projects, programs, and initiatives for the Accelerating Talent team
  • Coordinate project timelines, track progress, and proactively identify risks or gaps
  • Maintain organized digital files, trackers, and program documentation
  • Identify inefficiencies and recommend process improvements
  • Draft and refine communications around scheduling, logistics, and program updates
  • Partner cross-functionally to facilitate seamless execution of program logistics and onsite participant experiences
  • Provide onsite event presence, including setup, materials coordination, and participant support
  • Submit purchase orders and assist with workshop content development
  • Coordinate interview scheduling for Commercial Leadership Program and CORE, managing communications and tracking
  • Support onsite for interns' onboarding, orientations, and event operations; maintain tracking systems
  • Administer Insights Discovery assessments, register participants, monitor completions, generate team wheels, and manage supplies
Required Experience & Skills
  • 2+ years in talent management, HR, training, administrative, or project management roles
  • Strong organizational aptitude and attention to detail
  • Proven project coordination and execution capabilities
  • Ability to manage complex, high-volume scheduling and logistics
  • High level of written and verbal communication skills
  • Demonstrated experience with Microsoft Office Suite and collaboration tools
  • Able to work both independently and cross-functionally
  • Available for onsite event and logistical support several times per month
Preferred Qualifications
  • Experience working with a big biopharma leader
  • Familiarity with training, onboarding, HR, or talent development
  • Experience coordinating high-volume, complex schedules
  • Proficiency with AI tools (e.g., ChatGPT), PowerBI, and enterprise systems for data/scheduling/assessments
  • Strong stakeholder management and interpersonal skills
  • Experience facilitating trainings or meetings
  • Experience in fast-paced environments with competing priorities
