Shared Services Coordinator

Position Summary

The Shared Services Coordinator provides administrative and operational support for centralized shared services functions across the organization. This position is responsible for account setup and maintenance, supplier onboarding, supplier portal administration, and support of accounts payable and accounts receivable activities. The coordinator works closely with internal departments and external partners to ensure efficient, accurate, and timely processing of business transactions and information.

Key Responsibilities

Account Setup & Maintenance

  • Create and maintain customer, vendor, and other business accounts in company systems.
  • Review account requests for completeness and accuracy.
  • Update account information as needed and ensure data integrity.
  • Resolve account-related issues and coordinate with stakeholders to implement corrections.

Accounts Payable Support

  • Process and route invoices for approval.
  • Assist with payment tracking and vendor inquiries.
  • Reconcile invoice discrepancies and escalate issues as needed.
  • Maintain organized AP documentation and records.

Accounts Receivable Support

  • Assist with customer invoicing activities.
  • Monitor outstanding receivables and follow up on payment status.
  • Support cash application and account reconciliation efforts.
  • Communicate with customers regarding billing inquiries.

Administrative & Operational Support

  • Maintain accurate records and documentation.
  • Support audit requests by gathering required documentation.
  • Assist with process documentation and standard operating procedures.
  • Participate in projects aimed at improving efficiency and service quality.
  • Support operational route-closing activities on a rotating schedule, including alternating-week assignments that require remote work during late evening or overnight hours to ensure timely completion of business-critical processes.

Customer Service & Collaboration

  • Respond to internal and external inquiries in a professional and timely manner.
  • Partner with Finance, Operations, Sales, and other departments to support business needs.
  • Build positive working relationships with suppliers, customers, and internal stakeholders.

Continuous Improvement

  • Identify opportunities for process improvements and standardization.
  • Assist in implementing new procedures, systems, and workflows.
  • Support the Shared Services Manager with special projects and departmental initiatives.

Additional Responsibilities

  • Perform other duties as assigned.
  • Take on new responsibilities as the Shared Services function evolves and expands.
  • Assist with cross-functional initiatives and support changing business priorities.

Requirements

Preferred Qualifications

Associate's or Bachelor's degree in Business, Accounting, Finance, or related field preferred but not required.

1-3 years of administrative, accounting, shared services, customer service, or operations experience.

Proficiency in Microsoft Office, particularly Excel.

Experience with ERP systems, accounting software, or supplier management platforms preferred.

Strong attention to detail and organizational skills.

Excellent communication and problem-solving abilities.

Ability to manage multiple priorities in a fast-paced environment.
