Our client, a well-established Japanese entertainment company is seeking a Licensing Coordinator to support merchandising and promotional licensing programs. This role will focus primarily on coordinating product approvals, artwork development, style guide management, and communication between licensees and overseas headquarters. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects while ensuring brand standards and licensing requirements are consistently maintained.
Key Responsibilities
Merchandising Licensing & Approval Coordination
  • Manage product approval workflows, artwork development schedules, and sample tracking
  • Coordinate style guides, artwork assets, and approval materials between headquarters and licensees
  • Communicate daily with licensees, agents, and overseas teams to facilitate approvals and resolve issues
  • Support development of new artwork and creative assets based on market trends and partner needs
  • Review and monitor product quality to ensure accurate brand representation
  • Independently manage assigned projects with minimal supervision
Licensing Business Coordination
  • Support licensing operations by preparing reports and providing information to stakeholders
  • Assist supervisors with account management and licensing activities
  • Serve as a primary contact for licensees and coordinate day-to-day communications
  • Identify potential issues and proactively address licensing and approval risks
  • Monitor approvals, documentation, and project milestones to ensure deadlines are met
  • Follow up on accounts receivable, closeouts, and related administrative tasks
  • Assist with marketing materials, promotional approvals, and sales support initiatives
  • Maintain and organize product samples, including pre-production and final samples
Licensing Administration
  • Maintain project schedules and ensure timely completion of assigned tasks
  • Organize and manage licensing records, contracts, approval documentation, and royalty-related files
  • Collect and analyze information, reports, and product samples to support future business activities
  • Provide requested information and updates to internal and external stakeholders
Qualifications
  • Associate's or Bachelor's degree preferred
  • 2-3 years of experience in licensing, merchandising, design coordination, sales support, or related fields
  • Strong project management and time management skills
  • Excellent written and verbal communication skills
  • Detail-oriented with strong organizational and follow-up abilities
  • Ability to manage multiple projects and deadlines simultaneously
  • Experience with Adobe Photoshop and Illustrator is a plus
  • Japanese language ability is a plus
