POSITION DESCRIPTION

The Spa Reception Associate is responsible for coordinating and scheduling all spa services, managing pool access, and supporting other spa-related and springs-related functions. This role plays a key part in ensuring a high-quality guest experience by welcoming all guests with recommended Ojo verbiage; ability to answer all questions pertaining to the resort, spa, and springs; managing guest requests; monitoring robe rentals and returns; checking in guests for day soaking, spa appointments, and private pools; giving clear direction for location and use of lockers; thanking all guests at the end of their visit; keeping the lobby area neat, tidy, and welcoming. Interaction with other staff will be gracious, respectful, kind, and professional. Logs, reports, and paperwork will be maintained and used daily. The Spa Reception Associate communicates daily with the Spa Manager for direction and training. This position cross-trains with Guest Service Agents, Spa Attendants, Springs Attendants, Locker Room Cleaners, etc. to provide a seamless guest experience.

Additional responsibilities include opening and closing the spa, handling cash and credit card transactions, and operating the spa software system. The Spa Reception Associate is expected to follow all established opening, shift, and closing procedures, ensuring smooth daily operations.


Responsibilities

  1. Answer phones promptly and provide accurate information about spa services and resort amenities.
  2. Efficiently and accurately book guest appointments; support all staff involved with LMT bookings, communication, and documentation including Spa Manager(s), LMT Liaison, Springs Manager, Supervisors, etc.
  3. Greet guests with a warm and sincere welcome, providing detailed explanations of available spa services, private pools, workshops, and soaking options.
  4. Engage with spa and springs guests in a friendly and professional manner with gracious hospitality.
  5. Develop comprehensive knowledge of spa services, workshops, private pool, menu offerings, and retail products.
  6. Effectively articulate and describe spa services, retail products, and related offerings with enthusiasm and clarity.
  7. Escort and provide tours of the spa facility in a friendly and unhurried manner as needed.
  8. Promote service specials, packages, and all facilities to enhance guest experience.
  9. Communicate guest requests or concerns to the necessary managers and record on the correct log.
  10. Manage and complete daily paperwork as required by protocols.
  11. Open and close the spa, including handling cash transactions, processing retail receipts, running reports, and ensuring all close-out reports accurately reflect activities and services.
  12. Maintain a clean and organized front desk and lobby reception area, keeping personal beverages away from the workspace.
  13. Assist with planning and executing weekly, monthly, and quarterly inventory counts.
  14. Utilize downtime efficiently by following checklists, reviewing procedures, and seeking guidance from the Spa and Retail Director when necessary.
  15. Cross-train with Springs and Lodging departments for a seamless guest experience.
  16. Understand emergency and first aid procedures, directing guests accordingly in case of an incident.
  17. Incorporate the resortโ€™s service excellence culture, mission, and core values into all aspects of job performance.

Qualifications

  1. High school diploma or equivalent required.
  2. Minimum of two years of combined spa, hotel front desk, and/or retail experience preferred.
  3. CPR certification preferred.
  4. Proficiency in computer systems and software.
  5. Commitment to delivering outstanding guest experiences.
  6. Must be friendly, approachable, and guest-service oriented throughout all shifts.
  7. Energetic and professional demeanor, with a desire to ensure the best possible guest experience.
  8. Ability to communicate clearly and professionally, both verbally and in writing.
  9. Ability to follow written and verbal instructions with professionalism and accuracy.
  10. Ability to work a flexible schedule, including days, nights, weekends, and holidays.
  11. Reliability and punctuality are critical.
  12. Must be able to stand and move continuously throughout the scheduled shift.
  13. Ability to sit, reach, bend, kneel, stoop, climb, and push/pull/lift items weighing up to 40 pounds.
  14. Must be able to perform tasks requiring manual dexterity, auditory focus, and visual attention.
  15. Must be able to work both indoors and outdoors in varying weather conditions including heat, steam, cold, rain, snow, wind.
  16. Must be comfortable navigating uneven terrain and stairways in a natural outdoor environment.
  17. Ability to work under pressure with a high level of patience and professionalism.
  18. Comfort working in a guest-focused environment where attentiveness is essential.
