POSITION RESPONSIBILITIES
The Real Estate Operations Specialist provides portfolio-wide operational support in close partnership with the Senior Vice President of Portfolio Management & Operations, helping drive consistency, efficiency, and best practices across a national real estate portfolio. The position leads standardized procedures, technology adoption, and training initiatives, while coordinating closely with Property Management and cross-functional teams to support decision-making, portfolio initiatives, and overall operational performance.
Responsibilities include but are not limited to:
Portfolio & Operational Support
  • Partner closely with the Senior Vice President of Portfolio Management & Operations as a member of the Real Estate Operations team
  • Coordinate and implement portfolio-wide operational standards, best practices, and procedures
  • Develop and maintain standardized operating procedures, emergency response protocols, and operational playbooks
  • Track initiatives focused on improving operational efficiency
  • Oversee, maintain and manage "Contact Manager" as the system of truth for personnel assignments to buildings throughout the portfolio
  • Oversee and maintain Property Management intranet document repository
  • Provide operational support to the Property Management team throughout the portfolio
  • Create and maintain strong relationships throughout the organization
  • Partner with team in creating training content and materials
  • Lead and facilitate improvement and adoption across the organization

Cross-Functional Coordination
  • Collaborate with stakeholders across Finance, IT, Procurement, Marketing, and Property Management to execute operational initiatives
  • Champion technology platforms, workflows, and training initiatives to drive consistency and adoption

Programs, Events & Portfolio Initiatives
  • Participate in planning and execution of the Healthpeak's Annual Conference
  • Coordinate Kingsley tenant survey process, including data coordination and annual action plan tracking
  • Schedule and coordinate trainings, meetings, and portfolio-wide events

Administrative, Analytical & Presentation Support
  • Provide high-quality support to drive key decision making across the national portfolio
  • Prepare PowerPoint presentations and perform Excel analysis to support leadership and team initiatives
  • Track action items, timelines, and deliverables across multiple workstreams
  • Design internal surveys and partner with HR and other groups for creation of company-wide communication

POSITION REQUIREMENTS
  • 5+ years of experience in property management, real estate operations, healthcare, or operations leadership
  • Bachelor's degree in Marketing, Business, Real Estate, Finance, and/or Accounting preferred
  • Strong computer skills and proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, etc.)
  • Experience with Yardi beneficial
  • Comfortable learning new systems and processes
  • Occasional travel (15%) for portfolio initiatives, meetings, or company events
  • Ability to prioritize tasks and handle multiple projects at a time
  • Experience supporting multi-site or portfolio operations
  • Strong collaboration, process improvement, and communication skills
  • Excellent organizational, written, and verbal communication skills
  • Willingness to proactively seek out tasks that support the team
  • Base Salary (based upon, and subject to, candidate experience): $135,000 - $155,000 (plus generous cash incentives)
