Summary: The Purchasing Assistant is responsible for assisting the Operations Manager and Team Sales by performing administrative, purchasing, and problem-solving tasks.

The Purchasing Assistant is a vital position in the operation of our business. Dedication to satisfying customers by facilitating behind-the-scenes processes is the primary goal of this person. Candidates must be motivated to participate in any way necessary to help our team provide the very best products and services to our customers. We pride ourselves on accurate completion of all orders in a timely fashion.
 
Essential Duties and/or Responsibilities:  
Essential Duties and Responsibilities include but are not limited to the following. Other duties may be assigned to meet business needs.
  • Order products from vendors based on a comprehensive list of needs.
  • Follow up on purchase orders (communications between vendors and sales team) confirm or change orders as needed.
  • Update internal databases with order details (dates, vendors, quantities, discounts).
  • Maintain an ongoing task list to verify all orders are handled properly.
  • Monitor stock levels and identify purchasing needs.
  • Detect issues with incorrect shipments and follow through on a resolution.
  • Handle returns to vendors.
  • Help keep cost/sell pricing up to date.
  • Organizing, marking, and routing paperwork to the proper departments.
  • Data Entry and filing.
  • Cross-train with administrative team members to develop a comprehensive understanding of departmental functions and workflows, enabling coverage during vacations and other absences.
  • Provide support to other departments during high-volume or peak periods, ensuring continuity and efficiency across teams.
Knowledge and Skills Required:   
  • Must be proficient in Microsoft Word, Excel and Outlook (e-mail) programs.
  • Strong computer skills with the ability to learn new computer programs.
  • Ability to adapt to a variety of job responsibilities.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Strong organizational and planning skills.
  • Attention to detail and problem-solving skills.

Experience:
