The Practice Assistant supports the practice management teams within the Financial Services Department by performing critical administrative and operational functions that advance the Department's business objectives. The Practice Assistant has access to highly sensitive and confidential information and therefore requires consistent exercise of exceptional judgment and discretion in handling such matters.

Essential Duties and Responsibilities:

  • Provide comprehensive administrative support, including managing calendars and travel arrangements, processing check requests and expense reports, coordinating and scheduling meetings and events, and handling other administrative responsibilities as needed.

  • Assist with the creation, organization, and retention of practice-related documents, such as correspondence, meeting agendas and minutes, business plans, task lists, databases, and budget and expense materials.

  • Support the development, monitoring, and analysis of Department and Practice Group reports, including, but not limited to, budgets, financial performance, timekeeper hours, and personnel-related data.

  • Conduct research on a broad range of topics, encompassing both internal firm matters and external issues relevant to the practice and the firm.

  • Maintain confidentiality of all firm and client information.

Knowledge, Skills, and Abilities:

  • Proven ability to exercise sound independent judgment, tact, and discretion in handling sensitive and confidential matters.

  • Exceptional grammar, punctuation, and proofreading skills, with the ability to produce clear, accurate reports and correspondence.

  • Demonstrates excellent written, verbal, and interpersonal communication skills.

  • Self-starter who is comfortable managing and balancing multiple responsibilities simultaneously.

  • Displays flexibility, initiative, and a consistently positive attitude.

  • Possesses strong organizational skills, with the ability to prioritize and manage multiple tasks seamlessly while maintaining excellent attention to detail, even under pressure.

  • Able to establish, develop, and maintain effective working relationships at all levels.

  • Advanced knowledge of the Microsoft Office suite, particularly Excel.

Education and/or Experience:

  • Bachelor's degree or any combination of skills, training, and experience that demonstrates the ability to perform the essential duties of the position.

  • Minimum one (1) year of administrative support experience.

  • Minimum one (1) year of law firm experience.
