The Operations Coordinator plays a key role in supporting the day-to-day operations of our main facility while helping ensure business processes, administrative functions, and operational activities run smoothly. This position serves as a central point of coordination for facility operations, administrative support, vendor management, and cross-functional communication.

The Operations Coordinator partners closely with leadership and departments across the organization to support operational initiatives, maintain workplace standards, coordinate vendors and services, and assist with projects that improve efficiency and employee experience.

The ideal candidate is highly organized, proactive, detail-oriented, and enjoys working with people. This individual thrives in a fast-paced environment, can manage multiple priorities simultaneously, and takes pride in keeping operations running efficiently.

What You'll Do
  • Serve as a primary point of contact for operational, facility, and administrative requests, ensuring timely follow-up and resolution.

  • Provide day-to-day administrative and operational support to leadership and cross-functional teams.

  • Coordinate facility operations, including maintenance, repairs, cleaning services, security vendors, and workplace support.

  • Administer facility access and security processes, including badge management and visitor coordination.

  • Manage office supplies, equipment, and operational inventory to support business needs.

  • Coordinate vendor relationships, service schedules, contracts, and related documentation.

  • Assist with tracking operational tasks, department action items, and business initiatives.

  • Maintain operational documentation, reports, records, and tracking tools to support organization and accountability.

  • Support company meetings, employee engagement activities, recognition programs, and special events.

  • Assist with health, safety, compliance, and workplace improvement initiatives, including recordkeeping and facility inspections.

  • Provide professional front-desk support as needed, including visitor reception, phone support, and mail handling.

  • Support additional operational projects and administrative initiatives as assigned.

What You'll Bring
  • Associate's or Bachelor's degree preferred or equivalent years of experience.

  • 2-4 years of experience in operations coordination, office administration, facilities coordination, administrative support, or a related role.

  • Experience supporting multiple departments and stakeholders in a fast-paced environment.

  • Strong organizational skills with the ability to prioritize tasks and manage competing deadlines.

  • Proficiency in Microsoft Office Suite and/or Google Workspace.

  • Experience using project tracking or collaboration tools such as Jira, Asana, Monday.com, ClickUp, or similar platforms is preferred.

  • Experience working with ERP, CRM, or business systems is a plus.

  • Excellent verbal and written communication skills.

  • Strong attention to detail and commitment to accuracy.

  • Ability to work independently while maintaining a high level of accountability and follow-through.

  • Professional, customer-service-oriented approach when interacting with employees, visitors, vendors, and business partners.

  • Strong problem-solving skills and a willingness to continuously improve processes and workplace operations.
