Job Title: Part-Time School Secretary
Part-Time Status: Hours are 12:30-4:30 pm on all school days. Flexibility to be available to cover the office for full days as needed.
Position Summary: The part-time school secretary provides essential administrative and clerical support to ensure the smooth daily operation of the school office. This role involves direct interaction with students, staff, and parents, requiring excellent communication skills and a professional demeanor.
Key Responsibilities:
  • Front Office Management: Answer multi-line phones and provide consistent information to callers. Greet parents and visitors, ensuring they follow proper check-in procedures.
  • Student Dismissal Coordination: Primary responsibility for managing the daily dismissal process, including using systems like PickUp Patrol to track and communicate dismissal changes. Communication with the bus company to ensure students get home safely.
  • Records & Documentation: Maintain and safeguard essential school records. Assist with the preparation and distribution of "first day of school packets," student lists, and staff mailboxes.
  • Staff Support: Assist staff with projects such as making posters, bulletin boards and helping with copies, etc.
  • Communication: Prepare school newsletters, flyers, and other public-facing documents, ensuring all materials are pre-approved by the Building Principal or Admin Assistant. Assuring google calendars and website are updated promptly with current events and changes.
  • General Clerical Duties: Assist the Administrative Assistant with data entry in systems like ALMA (Student Information System), manage office equipment, and handle incoming packages and mail.

Qualifications:
  • Experience: Previous experience in a clerical or secretarial role is preferred. Experience working with children in a professional or childcare setting is a plus.
  • Technical Skills: Proficiency with technology, including all google suite applications, and ability to learn school-specific software like ALMA and PickUp Patrol. Cricut design space experience preferred.
