SCHOOL BOARD RECORDING SECRETARY

Part-Time | As Needed | Remote Eligible

SAU 39 is seeking a dependable, detail-oriented individual to serve as Recording Secretary for the Amherst, Mont Vernon, and Souhegan Cooperative School Boards. The Recording Secretary prepares accurate, timely, and objective minutes that document Board proceedings and actions.

Work Arrangement

This position may be performed from home. Meetings will be recorded through the district's video or conferencing system, and an automated transcript will be generated to support the minute-preparation process. The Recording Secretary must attend each assigned meeting remotely in real time, maintain the official action log, and independently verify all draft minutes against the meeting recording. AI-assisted transcripts are a drafting resource and do not replace human review or judgment.

Essential Responsibilities

  • Attend regular and special School Board meetings remotely, primarily during evening hours, and serve as the official meeting recorder.
  • Maintain a concise real-time action log documenting attendance; agenda-item start times; motions and seconds; exact vote results; members entering or leaving; public speakers; entry into and return from nonpublic session; and adjournment time.
  • Use the automated transcript, meeting recording, and action log to prepare clear, concise, and objective draft minutes.
  • Verify the draft against the recording, resolve discrepancies, and ensure that the final draft accurately reflects Board discussions and actions.
  • Submit and post draft minutes within five business days, clearly labeled "Draft Minutes - Pending Board Approval."
  • Revise the minutes following Board approval and coordinate replacement of the draft with the approved version while supporting retention of the permanent official record.
  • Maintain confidentiality and exercise discretion when handling sensitive information, including nonpublic-session materials.
  • Ensure that minutes comply with applicable Board policies and New Hampshire public-meeting requirements.
  • Coordinate with the Superintendent's Office regarding meeting schedules, access to recordings and transcripts, deadlines, and record submission.

Qualifications

  • Strong writing, grammar, proofreading, summarization, and organizational skills.
  • Excellent attention to detail and the ability to remain accurate and objective.
  • Ability to work independently, meet firm deadlines, and use sound judgment.
