Job description

Administrative Assistant / Secretary – CPA Firm

Scribe CPAs is seeking a dependable, highly organized Administrative Assistant/Secretary to support the daily operations of our CPA firm.

This is primarily an organizational and communication role. The successful candidate will help manage emails, identify important tasks, maintain our workflow system and communicate with clients regarding outstanding information and project updates. Some light bookkeeping may also be included.

Primary Responsibilities

  • Review and organize incoming emails
  • Identify urgent messages, deadlines and follow-up items
  • Prepare a daily list of priority tasks for the firm owner
  • Track emails and requests that still require a response
  • Review and update the firm’s Trello workflow
  • Remove completed or outdated tasks
  • Make sure active client projects have a current status and clear next step
  • Follow up with clients for missing documents and information
  • Send professional client updates and routine communications
  • Coordinate tasks between the firm owner and other team members
  • Assist with invoicing, payment tracking and light bookkeeping
  • Organize electronic client files and maintain accurate records
  • Help ensure important deadlines and client requests do not fall through the cracks

Qualifications

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication
  • Ability to recognize urgent matters and prioritize tasks
  • Comfortable working with email and online task-management systems
  • Professional and courteous when communicating with clients
  • Dependable, proactive and comfortable working independently
  • Ability to handle confidential financial information
  • Basic knowledge of Microsoft Office or Google Workspace
  • Experience with Trello or QuickBooks is helpful but not required
