Job description

Overview

Serving under the direction of the Director of Operations, assist with the operations of the East Cleveland Corps Community Center. The Operations Assistant I will support and maintain the Mission of The Salvation Army and the Vision of the East Cleveland Corps, in accordance with all applicable internal & external policies and procedures.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES: (As directed by the Director of Operations)Administrative Operations Assist with the preparation of correspondence, as assigned. This will include corps bulletins, newsletter, reports, publicity materials, etc. Assist with keeping general files up-to-date and in order Maintain orderly computer files and back-ups, via SharePoint, as directed Perform administrative tasks for other departments, as assigned

Front Desk Operations Greet and receive all clients, visitors, donors and guests, directing to the appropriate areas as necessary Answer telephones and forward calls to appropriate staff or voicemail boxes Ensure proper intake and sign-in protocols are observed for all programs Often as the client's first contact, assist with registration process for all seasonal services & activities including Camp NEOSA, Christmas & Thanksgiving Assistance, as requested Distribute and open incoming mail, as directed by Administration Handle outgoing mail Receive and receipt income in accordance with standing procedures

Program Operations Assist with providing transportation to program participants, as directed by the Corps Officers

OTHER DUTIES AND RESPONSIBILITIES: (As directed by the Director of Operations) Involvement in the total Corps program with willingness to help in all areas as needed, including dining room, outdoor/indoor activities, children with problems, daily assembly, etc. Promote observance of the moral and ethical codes affecting Entire East Cleveland Corps Community. Attend and contribute to General Staff Meetings. Responsible for sharing with the Corps Commanding Officers, all matters of mutual concern relating to the total welfare of the Corps Program. To arrive on time and be ready to work Serve as a member of the Operations Team, during disaster emergencies Maintain a tidy and clean work area, reporting unsafe conditions to supervisors Assist as needed, with the administration of special events & seasonal programs (Christmas, Kettles, Back-To-School, Day Camp, etc.) Perform related duties, as assigned.

This is not an exhaustive list of duties and may be added to, deleted, and changed as required by the Corps Officers.

Qualifications

MINIMUM EDUCATION and/or EXPERIENCE:

An Associate degree (Baccalaureate preferred) in the area of Business Management or Secretarial Science or a High School Diploma and at least 3 years of similar experience Must have experience in marketing and/or event planning Ability to read and write effectively; follow written instructions, adhere to policy and procedure of the organization (The Salvation Army) Assist with the effective flow of work through the general office for Facility Operations Receive public on behalf of the Salvation Army and assist by directing to appropriate areas. Ability to maintain the highest standard of professionalism and confidentiality during and after employment, in all matters. Must pass all required background checks and annual physical Valid Driver's License
