Executive Assistant

Client's department of Client Growth and Retention is seeking an Executive Assistant to join the team in the Client home office. This role involves providing administrative support to the department's senior leaders. General responsibilities include arranging meetings, managing calendars, making travel arrangements, handling expenses, serving as a liaison between executives and various constituents, preparing meeting materials, and performing various administrative duties and projects to support the broader team.

Manage complex calendars and meeting schedules for the department's senior leaders. Serve as a liaison between the executives and various internal and external constituents. Develop and maintain strong relationships with other Executive Assistants, including providing back-up support when necessary. Coordinate meetings and manage meeting set-up and logistics as needed, including IT requirements, room set-up, and catering (if applicable). Coordinate travel and manage travel expenses (i.e., Client corporate card). Process and reconcile monthly procurement card statements. Assist with new hire and consultant/contractor onboarding. Assist with space planning and seating arrangements for personnel in the home office. Order department supplies and manage facilities issues and requests. Manage and/or participate in special projects and ad hoc duties.

Bachelor's degree preferred. Minimum of 5 years of executive administrative support or related experience. Strong communication skills, including the ability to interface with individuals at all levels in a professional and efficient manner. Ability to multi-task and take ownership and initiative in completing assigned work. Strong attention to detail and superior organization skills. Ability to proactively anticipate needs and apply appropriate solutions. Strong computer skills, including proficiency in MS Office (Word, PowerPoint, Excel). Strong desire to learn, always seeking new ways to improve upon existing processes. Project management experience preferred.
