Job description

The Onboarding Associate is responsible for delivering a seamless and welcoming experience for all external hires from offer acceptance to their first day. This role coordinates and facilitates onboarding activities, ensuring compliance, consistency, and high-touch support for both candidates and internal partners. The ideal candidate is detail-oriented, process-driven yet flexible, and passionate about delivering an exceptional employee experience. 

  • Coordinate end-to-end onboarding for new hires including background checks, scheduling of Pre-Employment Services appointments, and finalizing start dates. 

  • Manages communication throughout the process with candidates as well as leaders to keep all parties informed of milestones and delays.  

  • Serve as a key point of contact for new hires, answering questions and providing support throughout the onboarding journey. 

  • Ensure all pre-employment requirements (e.g., background checks, forms, certifications) are completed accurately and on time. 

  • Partner with HR and managers to ensure smooth Day 1 readiness. 

  • Maintain onboarding checklists and documentation to ensure consistency and compliance. 

  • Track onboarding milestones and escalate any issues to appropriate teams. 

  • Identify opportunities to improve onboarding processes and contribute to a welcoming, scalable experience. 

  • Submits all non-referral bonus payouts for Payroll processing post hire. 

Required: 

  • High school diplomas or GED 

  • Strong attention to detail and time management skills. 

  • Excellent interpersonal and written communication skills. 

  • Comfortable working in fast-paced, changing environments with competing priorities. 

  • Proficient in Microsoft Office Suite. 

Preferred: 

  • 1–2 years of experience in HR, onboarding, or talent acquisition 

  • Experience in a healthcare or large organizational setting. 

  • Familiarity with applicant tracking systems (ATS) and onboarding tools.
