Job description

Serves as the face of the Company with candidates and new associates. Supports the new associate onboarding process by scheduling drug tests, background checks, coordinating completion of new hire paperwork, and monitoring the processes to completion. This position also provides information and answers questions from candidates, associates and management to facilitate the onboarding processes and completion of required employment documents. Organizes and completes all administrative functions associated with the day-to-day operation of the talent acquisition function. Supports Talent Acquisition management and staff. Works with minimal supervision and is responsible for making an established range of decisions, escalating to Manager when necessary and updating Manager on a regular basis.


What you will do

  • Manages associate onboarding processes, paperwork requirements, background checks and drug screens; answers questions related to onboarding policies, and establishes and maintains positive working relationships with management and associates
  • Identifies potential onboarding issues or concerns; researches, provides clarification and facilitates problem resolution.
  • Notifies management and/or hiring managers regarding onboarding process issues; collaborates and advises as appropriate to limit risk, and escalates non-compliance issues and concerns.
  • Identifies trends and issues with the onboarding process flow; makes improvement recommendations to management. Recommends process improvements to increase the level of customer service and efficiency by streamlining necessary processes and eliminating non-value-added work.
  • Serves as liaison between the company and third-party vendors regarding background check processes and drug testing; coordinates requests, answers questions, monitors and receives results.
  • Prescreens resumes and applications based on applicant profile for further consideration.
  • Processes all requests for requisitions through the applicant tracking system to include assigning open position numbers, preparing job files, assisting in the tracking of time to fill and expenses incurred for each position, offer and rejection letters.
  • Posts positions on career sites. Conducts database searches on the Internet for recruiters. Screens job posting candidates for recruiters.
  • Conduct reference checks for recruiters as needed.
  • Coordinates all administrative functions associated with the day-to-day operations of the talent acquisition function.
  • Schedules, administers and scores various pre-employment tests and orders test supplies.
  • Manages the new hire survey process according to set timelines.
  • Serves as system administrator for applicant tracking system. Provides first point-of-contact support for all registered users. Develops and maintains reports generated from the applicant tracking system.
  • Performs other duties as assigned.
  • Complies with all policies and standards.

Qualifications

  • High School Diploma Or GED. - Required
  • Related college degree - Preferred
  • Proven successful experience providing administrative support in a high-volume professional office setting. Experience must include supporting multiple individuals where independent decision-making and self-initiative were demonstrated. - Required
  • Proven experience coordinating multiple projects, assignments or tasks simultaneously, and completing assigned tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands. - Required
  • Proven experience handling confidential information and correspondence, and a familiarity with methods and approaches to maintaining confidentiality. - Required
  • Demonstrated experience maintaining a calm and professional demeanor when handling stressful situations, treating all with dignity and respect. - Required
  • Proven skill for helping people and providing outstanding customer service. -
  • Demonstrated strong verbal and written communication skills with ability to convey information to internal and external customers in a clear, accurate, focused and concise manner. Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format. -
  • Proven proficiency in preparing reports, compiling statistics and researching information. -
  • Demonstrated dependability, to include consistent, regular, punctual attendance. -
  • Proficient in Microsoft Office products. -


Work Setting/Position Demands:

  • Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Requires the ability to verbally communicate and exchange accurate information to customers and associates on a regular basis.
  • Requires visual acuity to read and interpret a variety of correspondence, procedures, reports and forms via paper and electronic documents, visual inspection involving small defects; small parts, and/or operation of machinery (including inspection); using measurement devices continuously. Visual acuity is required to determine accuracy, neatness, and thoroughness of work assigned.
  • Requires the ability to prepare written correspondence, reports and forms using prescribed formats and conforming to rules of punctuation, grammar, diction, and style on a regular basis.
  • Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts, and draw valid conclusions
  • Performs substantial movement of wrists, hands, and fingers for continuous computer work.
  • Extended hours required during peak workloads or special projects/events.
