Job Description:
The New Hire Onboarding Specialist is a seasonal, part-time, on-call role responsible for facilitating in-person new hire orientations at various company locations. This individual serves as the first point of contact for new employees and plays a critical role in delivering a positive onboarding experience while ensuring compliance with hiring and employment requirements.
This role requires flexibility, responsiveness, and the ability to travel on short notice to assigned locations. Regular availability is required on Mondays, Wednesdays, and Fridays to support scheduled onboarding sessions.
The ideal candidate is professional, detail-oriented, tech-savvy, and capable of independently managing onboarding sessions while representing the company's culture and values.
Duties and Responsibilities:
  • Conduct in-person new hire orientations at designated office locations on short notice
  • Serve as the primary point of contact for new hires during their onboarding experience
  • Facilitate onboarding sessions in a professional, engaging, and welcoming manner
  • Assist new hires in completing onboarding tasks utilizing Workday
  • Ensure all required documentation is completed accurately and efficiently
  • Troubleshoot basic system issues and provide guidance as needed
  • Review and verify identification documents for I-9 employment eligibility forms
  • Accurately complete and submit I-9 documentation in compliance with federal guidelines
  • Conduct drug testing procedures in accordance with company policy
  • Coordinate and present new hire orientation materials, including company videos, PPE requirements, and company compliance training
  • Reinforce key company policies, expectations, and workplace standards
  • Effectively communicate and model the organization's safety culture
  • Deliver a positive and professional first impression of the company
  • Act as a representative and ambassador of company values, culture, and expectations
  • Ensure consistent onboarding experience across locations

Knowledge, Skills and Abilities
  • High school diploma or equivalent
  • 2+ years experience in onboarding, HR support, administrative coordination, or similar roles
  • Comfortable using HR systems (preferably Workday) and general computer applications
  • Strong attention to detail and ability to handle compliance-related documentation
  • Ability to travel locally and be available on short notice (including next-day assignments)

Preferred
  • Experience with I-9 verification and onboarding compliance processes
  • Experience conducting orientations or group facilitation
  • Familiarity with drug testing procedures
