About the role:


The Onboarding Coordinator is the welcoming face of AmanaCare for both newcaregivers and new clients. This role is responsible for guiding caregivers and clientssmoothly through the onboarding process, ensuring all requirements are completedaccurately, timely, and in compliance with company standards and regulatoryrequirements. The Onboarding Coordinator plays a critical role in creating a positivefirst impression, removing barriers to entry, and ensuring a seamless transition to CareCoordination and Scheduling teams.


Key responsibilities:


Caregiver onboarding

  • Guide new caregiver hires through all aspects of onboarding, including paperwork, background checks, credential verification, and required training.
  • Monitor onboarding progress and follow up regularly to ensure timely completion of all onboarding tasks.
  • Serve as a friendly, supportive primary contact for new caregivers throughout the onboarding process.
  • Collaborate with the Director of Onboarding, Recruiting, and Human Resources to streamline caregiver onboarding workflows.
  • Ensure caregivers are fully prepared and successfully transitioned to Care Coordination and Scheduling teams prior to first assignment.
  • Maintain accurate and up-to-date caregiver onboarding records in all required systems.


Client onboarding

  • Serve as a resource and additional contact for new referrals, prospective clients, and their families during the intake and onboarding process.
  • Ensure essential client information is entered into the care management system and communicated to essential staff.
  • Track and monitor the progress of leads with Sales, Scheduling, and Care Coordination teams, ensuring there are no delays in converting the lead to a client.
  • Assist in scheduling initial consultations and coordinate with Care Coordinators and Schedulers to ensure readiness for client start of care.
  • Confirm appointments and follow up with clients and families to answer questions and ensure clarity prior to service start.
  • Collaborate with Scheduling and Care Coordination teams to ensure clients are successfully matched with appropriate caregivers.
  • Clearly explain available services, agency policies, and expectations in a supportive and professional manner.
  • Create and manage a system for responding to online leads in a timely manner.


Onboarding coordination and compliance

  • Coordinate internal communication between Recruiting, HR, Care Coordination, Scheduling, and Administration to ensure seamless onboarding transitions.
  • Ensure all caregiver and client onboarding activities comply with AmanaCare policies, procedures, and regulatory requirements.
  • Identify onboarding delays or barriers and proactively work with internal teams to resolve issues.
  • Maintain organized and accurate documentation of onboarding activities, communications, and timelines.


Data tracking, reporting, and process improvement

  • Track caregiver and client onboarding progress, timelines, and completion rates.
  • Prepare onboarding reports for leadership as requested, highlighting trends, gaps, or process improvement opportunities.
  • Collaborate with Director of Onboarding to continuously refine and improve onboarding processes for efficiency and quality.
  • Assist the Director of Onboarding, and leadership team with onboarding-related projects as needed.
