Job description

The Onboarding Manager is responsible for leading and overseeing the successful onboarding of new vacation rental properties into the company's portfolio. This role manages the onboarding process from contract execution through property activation, ensuring a seamless experience for homeowners while maintaining operational excellence. The Onboarding Manager supervises the Onboarding Coordinator, Utility Specialist, and Maintenance Onboarding Technician, ensuring all onboarding tasks are completed accurately, efficiently, and within established timelines.

This position serves as the central point of coordination between homeowners and internal departments, driving accountability, process improvement, and team performance to ensure every property is fully prepared for successful operation.

Leadership Responsibilities
  • Directly supervise and support the Onboarding Coordinator, Utility Specialist, and Maintenance Onboarding Technician.
  • Provide coaching, training, and performance management for onboarding team members.
  • Establish departmental goals, monitor key performance indicators, and ensure service standards are met.
  • Conduct regular team meetings, oneonone coaching sessions, and performance reviews.
  • Foster a collaborative and customerfocused culture within the onboarding team.
  • Identify opportunities for process improvements and implement best practices to enhance efficiency and homeowner satisfaction.
  • Assist with workforce planning, staffing needs, and onboarding team development.
  • Essential Duties and Responsibilities

    Onboarding Process Management
  • Oversee the endtoend onboarding process for all new vacation rental properties.
  • Ensure onboarding timelines are established, monitored, and completed according to company standards.
  • Serve as an escalation point for homeowners, vendors, and internal departments throughout the onboarding process.
  • Manage project workflows to ensure all onboarding milestones are completed prior to property activation.
  • Conduct final quality assurance reviews before properties are released for reservations.
  • Team Oversight
  • Supervise the onboarding workflow managed by the Onboarding Coordinator, ensuring timely communication and task completion.
  • Oversee the Utility Specialist's management of utility transfers, account setup, billing verification, and documentation.
  • Manage the Maintenance Onboarding Technician's completion of property inspections, inventory verification, preventative maintenance recommendations, and onboarding readiness assessments.
  • Monitor team workloads and redistribute assignments as needed to meet business demands.
  • Cross-Department Coordination
  • Partner with Marketing, Revenue Management, Maintenance, Housekeeping, Inspections, Reservations, and Operations teams to ensure a smooth onboarding process.
  • Coordinate property photography, floor plans, inventory setup, vendor scheduling, housekeeping preparation, and listing creation.
  • Ensure all homeowner documentation, property details, amenity information, and operational requirements are accurately captured and maintained.
  • Facilitate communication between departments to resolve onboarding challenges and prevent delays.
  • Homeowner Relations
  • Ensure homeowners receive consistent, professional communication throughout the onboarding process.
  • Build strong relationships with new homeowners and serve as a trusted resource during the transition into management.
  • Address concerns proactively and work collaboratively to create a positive onboarding experience.
  • Ensure homeowner expectations are aligned with company processes and timelines.

  • Qualifications
  • Bachelor's degree in Hospitality, Business Administration, or related field preferred.
  • Minimum of 35 years of experience in vacation rental management, property management, hospitality operations, or project management.
  • Previous leadership or supervisory experience preferred.
  • Strong understanding of vacation rental operations, onboarding processes, and homeowner relations.
  • Excellent organizational, communication, and project management skills.
  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Proficiency with property management software, project management tools, and Microsoft Office applications.
