Job description

Our client, a rapidly growing Registered Investment Advisor (RIA) in the Tampa Bay area, is seeking a highly organized and proactive Operations Associate to join their team. This is a unique opportunity for an operations-minded professional to gain broad exposure to the inner workings of a growing wealth management firm while working directly alongside the Chief Operating Officer.

The Operations Associate will play a key role in supporting the firm's day-to-day operations, helping drive organizational efficiency, supporting compliance initiatives, coordinating administrative functions, and contributing to the infrastructure needed to support continued growth. This position offers exceptional visibility across all aspects of the business and is ideal for someone looking to build a long-term career in RIA operations and management.

Key Responsibilities

  • Partner directly with the COO on a wide range of operational, administrative, and strategic initiatives.
  • Support day-to-day office operations and help maintain an efficient, organized work environment.
  • Assist with firm compliance processes, regulatory filings, audits, and documentation management.
  • Coordinate vendor relationships, office services, technology providers, and operational resources.
  • Manage administrative workflows, internal processes, and operational projects across the firm.
  • Assist with onboarding new employees and maintaining operational procedures and documentation.
  • Support business continuity, recordkeeping, and operational risk management initiatives.
  • Help monitor and improve operational processes to enhance efficiency and scalability.
  • Coordinate meetings, manage schedules, and assist with internal communications and special projects.
  • Collaborate with advisors, client service professionals, and leadership to support firm-wide initiatives.
  • Provide general administrative and operational support as needed in a fast-paced, growth-oriented environment.

Qualifications

  • Bachelor's degree preferred but not required.
  • 3+ years of experience within a Registered Investment Advisor (RIA), investment management firm, financial services organization, or related professional services environment.
  • Experience in an operations, office management, administrative assistant, executive assistant, client service, or similar support role.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities and adapt to changing business needs.
  • Self-starter with a willingness to take ownership and learn new areas of the business.
  • Strong proficiency with Microsoft Office Suite and business productivity tools.
