The Role:

The Membership coordinator is a supportive role in driving membership sales and fostering member relations. As the dedicated in person member point of contact the membership coordinator engages with members daily, provides support and guidance and assists with member requests. This position also assists the membership manager with driving member and revenue goals through strategic initiatives as outlined in sales and marketing plans. The membership coordinator reports to the Director of Wellness and is based on-site in the Club five days a week.

Reports to: Director of Wellness and works closely with the Membership Manager

Supervises: Not a supervisory position

The Responsibilities:

Membership Sales
  • Support membership sales, onboarding, renewals, and retention initiatives.
  • Conduct Club tours and educate prospective members on THE WELL's membership offerings and benefits.
  • Maintain accurate membership records, contracts, sales logs, and member profiles within Club systems.
  • Follow up with prospective members and event attendees to support membership conversion.
  • Assist with membership reporting, including lead generation, sales activity, renewals, retention, and engagement metrics.
  • Partner with Finance and Club leadership to support membership billing, payments, and contract administration.
Member Relations
  • Maintain a visible presence throughout the Club, building strong relationships with members and supporting an exceptional member experience.
  • Welcome new members and facilitate onboarding, including Club tours and introductions to services, programs, and team members.
  • Educate members on Club benefits, wellness offerings, classes, treatments, and programming.
  • Assist members with scheduling services, utilizing benefits, and maximizing membership value.
  • Support membership renewals, freezes, cancellations, and related member requests in accordance with established policies.
  • Collect and communicate member feedback, preferences, and opportunities to enhance the member experience.
  • Support member events, activations, and community engagement initiatives.
General
  • Conduct routine Club walkthroughs and communicate maintenance, cleanliness, safety, or operational concerns to leadership.
  • Represent THE WELL with professionalism, warmth, and exceptional service at all times.
  • Collaborate cross-functionally to support Club operations and member satisfaction.
  • Perform other duties and responsibilities as assigned.
Qualifications:

Required

  • Minimum of 2 years of experience in hospitality, customer service, membership, wellness, luxury service, or a related guest-facing environment.
  • Exceptional communication and relationship-building skills.
  • Strong organizational skills and attention to detail.
  • Comfortable working with CRM systems, Google Workspace, Microsoft Office, and related technology platforms.
  • Ability to multitask, prioritize, and thrive in a fast-paced environment.
  • Passion for wellness, hospitality, and creating meaningful member experiences.
  • Weekend availability required.
Preferred
  • Experience in a wellness, hospitality, social club, country club, luxury retail, or membership-based environment.
  • Experience with Zenoti or similar wellness management platforms.
  • Bilingual proficiency, Spanish preferred.
