Full-Time Nashua, NH
Greater Nashua Mental Health is seeking a Medical Records Associate to ensure the accuracy, security, and timely handling of client health information. This role is responsible for maintaining electronic records, processing medical record requests, and ensuring compliance with all regulatory and confidentiality standards. The Medical Records Associate supports both internal staff and external partners in the appropriate release and management of protected health information.
Key Responsibilities
  • Scan, index, and maintain client records within the Electronic Medical Record (EMR) system.
  • Process internal and external requests for medical records accurately and within required timelines.
  • Monitor, process, and distribute incoming faxes, mail, and documentation.
  • Route records and documents to appropriate staff for completion and follow-up.
  • Process Continuity of Care Documents (CCD) and enter into EMR.
  • Respond to requests from agencies such as SSA and DHHS.
  • Request medical records from external providers and facilities.
  • Answer internal and external inquiries related to medical records and release processes.
  • Review records for completeness and identify deficiencies for correction.
  • Maintain record retention processes, including secure shredding and document handling.
  • Ensure all record handling complies with HIPAA and confidentiality standards.
  • Perform other duties or projects as assigned.

Qualifications
  • High School Diploma or GED required.
  • Less than 1 year of relevant experience preferred.
  • Experience with EMR systems preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage confidential information responsibly.
  • Strong communication and customer service skills.
  • Ability to work independently and collaboratively.
