Job description

The Manufacture Relations Coordinator is responsible for supporting the Director of Manufacturer Relations, in relations to licensing for corporate office(s) and operating dealerships. This position works with all OEMs on behalf of the automotive group dealerships.  Support for licensing of the corporate location(s) and dealerships to include state and local agencies. Maintain personal information on corporate and dealership officers.  Acquisitions and divestitures to include OEM and licensing approvals for OEM agreements, state and local licensing agencies.

Duties/Responsibilities

  • Acquisitions & Divestures – assist in obtaining OEM dealer agreement approval through manufacturers application processes, apply and secure state and local required licenses
  • Provides other departments (finance, accounting, variable, service and parts) legal documents and information on the formation of the new entity(s) and assist as needed other department(s) applications
  • OEM relations – assisting OEM Director working closely will all OEMs to maintain current information on the automotive group dealerships including all sales & service dealer agreements including GM changes, agreement renewals, programs and facility requirements
  • Licensing – assist with applying for and maintain all acquisition licenses and cancel licenses for divestitures
  • Oversees dealership (DMV) renewals for various states
  • Oversees & renews all other local & state license renewals for dealerships and corporate operations
  • National and local dues – tracks and processes local and national dues (NADA & ADA’s) including any updated requested information
  • Provides information to legal and other departments to ensure the usage of proper dba’s and legal entities
  • Officer Information – assist with tracking personal officer information including running background and fingerprinting for states that requires it 
  • Notifies agencies when officers change including OEMs and licensing agencies in various states
  • Maintains highly secure personal information on each current and previous officers
  • Performs other related duties to benefit the mission/vision of the organization

Education & Experience

  • Prior experience preparing and submitting OEM applications
  • Working knowledge of corporate and operational entities (e.g., DBAs, ownership, officers) sufficient to complete manufacturer applications & documents
  • Experience in regulated industries such as automotive, financial services, or similar compliance-driven environments
