Fractional Assistant information

What is a fractional assistant?

Fractional Assistants are experienced professionals who provide administrative, operational, or specialized support to multiple clients or businesses on a part-time or as-needed basis. Unlike traditional full-time assistants, fractional assistants work remotely and dedicate a set number of hours per week or month to each client, offering flexibility and cost-efficiency. They often help with calendar management, email organization, project coordination, research, and other essential tasks, allowing businesses to access high-quality support without the commitment of a full-time hire.

How does a fractional assistant typically manage communication and workflow across multiple clients or teams?

Fractional Assistants often work with several clients or teams simultaneously, which requires strong organizational and communication skills. They typically use project management tools, shared calendars, and regular check-ins to stay aligned with each client's priorities and deadlines. Balancing competing demands can be challenging, so setting clear expectations and establishing consistent communication channels is essential. This approach ensures tasks are completed efficiently and maintains transparency with all stakeholders.

What are the key skills and qualifications needed to thrive as a fractional assistant, and why are they important?

To thrive as a Fractional Assistant, you need excellent organizational skills, multitasking abilities, and experience in administrative support, often backed by prior roles as an executive or virtual assistant. Familiarity with productivity tools like Google Workspace, project management platforms such as Asana or Trello, and communication tools like Slack or Zoom is typically required. Strong time management, proactive communication, and adaptability help distinguish top performers in this role. These skills enable Fractional Assistants to efficiently support multiple clients or executives, ensuring smooth operations and effective task completion remotely.

What is the difference between Fractional Assistant vs Virtual Assistant?

AspectFractional AssistantVirtual Assistant
CredentialsVaries; often specialized training or experienceTypically basic administrative skills, no formal certification required
Work EnvironmentPart-time or project-based, often working remotely for multiple clientsRemote, providing administrative support to individual clients or businesses
Employer UsageBusinesses seeking flexible, specialized support on a fractional basisIndividuals or small businesses needing general administrative assistance
Search & Comparison IntentLooking for flexible, part-time support with expertiseSeeking general remote administrative help

The main difference is that a Fractional Assistant offers specialized, part-time support tailored to specific business needs, often with more experience or training. A Virtual Assistant provides general administrative support remotely, usually on a more flexible, less specialized basis.

Job Overview

Company: Santa Fe Mechanical.

Salary/Pay Rate: $4,000 to $6,500 per month retainer or $85 to $125 per hour.

Location: Aurora and Denver Metro, CO (Hybrid).

Job/Employment Type: Part-Time Contract.

Schedule: 15 to 25 hours per month.

Project Scope: Commercial Multi-Family New Construction.

Mandatory Licences & Certifications: None Required.

The Opportunity

You will own the financial integrity of the company as the senior finance voice in the room. This role is designed for an experienced construction accounting professional who can quickly take ownership of the finance function and operate independently. You will bridge our bookkeeper's daily execution, our project managers' job-level reality, and ownership's need for clear and timely information. You will install rhythm, structure, and reporting that holds up at enterprise scale.

How You Will Make An Impact

  • Own the monthly close process, working to close books by the 15th of the following month.
  • Review and approve all reconciliations for bank, credit card, AP, AR, and intercompany accounts.
  • Produce monthly financial statements and reconcile BuildOps job cost data to QuickBooks Online.
  • Own the monthly Work-in-Progress (WIP) schedule and lead the monthly WIP review.
  • Apply percentage-of-completion accounting to track billings, retainage, and projected margins.
  • Maintain a rolling cash forecast and lead the weekly cash meeting.
  • Build annual budgets and produce weekly metric dashboards for ownership.

Required Qualifications & Experience

  • Minimum of 5 years of experience as a controller, assistant controller, or senior staff accountant in commercial construction.
  • Deep working understanding of percentage-of-completion revenue recognition and WIP schedules.
  • Fluency in job costing with the ability to build job cost reports from scratch.
  • Advanced expertise in QuickBooks Online, including chart of accounts and custom reports.
  • Bachelor's Degree in Accounting, Finance, or a related field.
  • Self-directed ability to set the rhythm without daily management.

Preferred Qualifications & Experience

  • Active CPA or CMA designation.
  • Experience with BuildOps, Procore, Sage 300 CRE, Foundation, or similar software.
  • Multi-entity or multi-LLC accounting experience.
  • Prior fractional controller or fractional-CFO experience.

Compensation & Benefits

  • Competitive compensation ranging from $4,000 to $6,500 monthly retainer or $85 to $125 hourly.
  • Defined path to a full-time Controller or Fractional CFO scope as revenue grows.
  • Direct weekly access to ownership and a clear mandate to install financial structure.
  • A modern tool stack utilizing QBO, Bill.com, and BuildOps.
  • Flexible hybrid schedule with minimal required on-site presence for month-end close.
