Arena Direct Hire has partnered with a growth-oriented, technology-enabled organization in Southern California that is hiring a senior executive support professional to partner directly with its Chief Executive Officer. This position will work onsite five days a week in a professional corporate office.
This is a highly visible opportunity for an experienced executive partner who can maximize the CEO’s time, preparedness, communication, and ability to execute. The person selected will manage a complex calendar, coordinate board and investor activities, oversee executive travel, prepare leadership materials, and ensure important priorities move from discussion through completion.
The right person will be resilient, composed, and comfortable working with a direct, fast-moving CEO without taking feedback personally. Reasonable flexibility outside standard business hours is required for occasional urgent travel or time-sensitive executive needs.
This is not a traditional administrative support role. The ideal candidate will bring recent experience directly supporting the CEO of a publicly traded company and be comfortable working with board members, investors, senior executives, advisors, and external business partners.

What you will own:
- Manage a highly active and frequently changing CEO calendar.
- Coordinate domestic and international executive travel.
- Prepare agendas, presentations, reports, briefing materials, talking points, and executive correspondence.
- Track decisions, commitments, deliverables, and action items through completion.
- Coordinate board and committee meetings, materials, documentation, and follow-up.
- Support investor meetings, roadshows, executive sessions, and other high-profile external engagements.
- Prioritize incoming requests and identify matters requiring the CEO’s attention or escalation.
- Maintain executive records, expenses, travel documentation, project trackers, and confidential files.
- Partner with senior leaders across the organization on executive priorities.
- Use AI and productivity tools to improve research, meeting preparation, scheduling, communication, and follow-through.
Must-have requirements:
- Significant experience directly supporting a Chief Executive Officer in a complex, fast-moving organization.
- Recent experience directly supporting the CEO of a publicly traded company, preferably in the candidate’s current or most recent role.
- Experience coordinating board meetings, board materials, governance workflows, and executive follow-through.
- Experience supporting investor meetings, roadshows, financing activities, or other high-profile external engagements.
- Proven ability to independently manage a complex executive calendar and travel schedule.
- Strong experience preparing executive presentations, reports, correspondence, and briefing materials.
- Advanced proficiency with Microsoft Outlook, PowerPoint, Word, Excel, Teams, and related platforms.
- Experience using AI tools such as ChatGPT, Claude, Microsoft Copilot, or similar technologies.
- Exceptional communication, organization, judgment, discretion, and follow-through.
- Ability to work onsite five days a week and provide reasonable flexibility outside standard business hours when needed.
Nice-to-have requirements:
- Experience supporting a CEO during significant growth, transformation, financing activity, or increased public visibility.
- Experience within technology, software, digital products, financial services, or another innovation-driven organization.
- Familiarity with board portals, project-management platforms, travel systems, and expense tools.
- Bachelor’s degree or equivalent directly relevant experience.
Compensation:
$165,000 to $190,000 annually, depending on experience, qualifications, and overall fit.
