Qualifications:
  • High school diploma or GED
  • Minimum of 2 years secretarial experience
  • Demonstrates good attendance record
  • Proficiency in PHRST (Payroll Human Resources Statewide Technology) preferred
  • Effective written and verbal communication skills
  • Ability to manage multiple tasks, prioritize work, make informed decisions and work well under deadline pressure
  • Ability to analyze and resolve employee data issues
  • Ability to complete daily, weekly and monthly tasks with minimal direction
  • Ability to perform salary calculations in Excel
  • Proficiency in using computer; specifically, knowledge in MS Excel and MS Word
  • Ability to exercise tact, discretion and confidentiality with a pleasant, cooperative attitude
  • Minimal amount of weight lifting required
  • Must be able to stand and work continuously for a minimum of 4 hours per work day
  • Must report to work on time every work day, except as afforded by existing law
  • Must perform all duties as assigned during scheduled work day
Responsibilities:
This employee is responsible to the designated administrator(s) and performs secretarial/clerical duties in any or all of the areas below:
  • Participates in HR pre-employment meetings with assigned employees explaining the state and local benefits available to the new hire
  • Finalize/follow up on New Hire Collection/Checklist
  • Reported-time PHRST setup
  • Verification and completion of loan forgiveness forms
  • Completion of employment & unemployment verifications
  • Participates in the annual open enrollment available to all CSD employees, assisting employees with the review of state and local benefits available to them
  • Prepares information for input into PHRST based upon established schedules/deadlines
  • Enter HR data into PHRST for all assigned employees as per the PHRST system calendar
  • Reviews PHRST critical reports to identify and correct errors on a daily, weekly and monthly basis
  • Name/Address and biographical information changes
  • Maintains employee records, supporting documentation and hardcopy files as required
  • Exercises good judgment and confidentiality in conformance with district policy
  • Performs related Financial/Executive Secretary duties as assigned by administrator(s)
