Job description

Administrative Assistant I (Secretary) - Seaford High School 
Description:  The Secretary is responsible to assist administration in maintaining the efficient and professional operation of the office and performing a variety of secretarial tasks under the direction and supervision of building or district administration of Seaford High School/Seaford School District.
Qualifications:



  • Minimum high school diploma with documented business and/or secretarial course work beyond high school level; college degree preferred
  • Proficiency in clerical skills including typing and record keeping
  • Knowledge of and experience with technology; Microsoft programs preferred
  • Ability to communicate and relate to the public in a professional, courteous and efficient manner including proper telephone etiquette skills
  • Established record of good attendance and performance
  • Previous school-level experience preferred
  • Develop and maintain effective and cooperative working relationships
  • Work confidentially
  • Complete work amid constant interruptions
  • Comply with schedules and meet deadlines


Performance Responsibilities:

  • Acts as the receptionist to the office and school visitors and answers a variety of questions for the public in a courteous manner
  • Distributes mail and packages upon arrival
  • Maintains orderly mailroom and main office areas
  • Assists with registration of new students/withdrawal of students. Provide families with appropriate materials/forms and handles the transfer of documents/files
  • Keeps accurate daily attendance records of students' absences, tardies and early dismissals; including the posting of appropriate information to Infinite Campus
  • SART meetings, letters, scheduling meetings report to Visiting Teacher
  • Uses the computer for maintaining, upgrading and reporting on the pupil accounting system
  • Issues bus passes
  • Keeps form bank stocked and clearly labeled
  • Greets visitors and issues passes when appropriate
  • Maintains office machines (copier, fax, printer, etc.) monitors and orders supplies for these devices and maintains service records
  • Prepares/distributes communications to staff, students and parents using a variety of methods including email, website and handouts
  • Is knowledgeable of the district's phone and email to be able to assist staff members and troubleshoot issues
  • Manages the printing and distribution of report cards
  • Check in substitutes
  • Maintains student cumulative record files
  • Create collect and maintain September 30th Unit Count documentation and complete all Count related forms and documents by the given deadlines
  • Identify when students may qualify for McKinney/Vento and take appropriate steps to provide services when necessary
  • Maintain communication with administrative and custodial staff to report safety issues and maintenance matters that may occur during the day
  • Prepare and distribute correspondence, notices, meeting minutes and reports as directed
  • Processes documents related to the School Choice Process and tracks correspondence regarding status of choice students
  • Maintain office files with the most up to date and organized information. Communicates changes in information appropriately to those who utilize the information
  • Performs other duties as assigned

Note:  Months/days will be pro-rated to start date.

NOTE:  A minimum of a high school diploma or GED is required for all employees of the Seaford School District.

NOTE:  Currently employed staff members interested and certified/licensed in this position will be given first consideration and should remit a staff transfer request on the Seaford School District website www.seafordbluejays.org no later than the application closing date referenced above. 
SPECIAL CONDITIONS OF EMPLOYMENT:  All new state employees will be required to participate in the State of Delaware's Direct Deposit system.  With direct deposit, wage and salary payments are deposited in the employee's bank account via electronic funds transfer.
All final candidates for employment must have a satisfactory criminal background check before being placed on contract/payroll as per State of Delaware regulations. Candidates must submit via IdentoGo using information provided by Seaford School District to make an appointment.  The cost of the criminal background check is $85 (expense borne by the prospective employee).  Final candidates must also receive a satisfactory child protection registry check via the online Portal and code provided by Seaford School District.
Final candidates must also produce documentation of Mantoux skin test results for entrance to school system.
The State of Delaware has initiated a lag pay policy which means that new employees will receive the first paycheck at the end of the second pay period of work.
